Requirements

  • Bachelor's degree in Event Management, Hospitality, Communications, or related field
  • 2+ years of experience in conference coordination, event planning, or hospitality management
  • Strong project management skills with ability to handle multiple events simultaneously
  • Excellent written and verbal communication skills with attention to detail
  • Proficiency in event management software and Microsoft Office Suite
  • Ability to work flexible hours including evenings and weekends as events require
  • Experience managing budgets and vendor relationships
  • Candidates must be authorized to work in the United States without employer sponsorship.

Nice To Haves

  • Certified Meeting Professional (CMP) or similar event management certification
  • Experience with Cvent, EMS (Event Management System), Social Tables, and other event technology platforms
  • Background in corporate event management or professional services environment
  • Knowledge of hotel and venue contracting processes
  • Experience with event registration and attendee management systems
  • Ability to travel up to 25% to support meetings and events at client facilities
  • Skills in delivering concierge-level white glove service with strong customer service mindset

Responsibilities

  • Coordinate all aspects of conference planning including venue selection, catering, audio-visual requirements, and accommodation arrangements
  • Manage vendor relationships and negotiate contracts to ensure cost-effective and high-quality service delivery
  • Build Cvent registration websites, manage invitations, and deploy post-event surveys for comprehensive attendee engagement
  • Utilize EMS (Event Management System) for conference room scheduling and coordinate ground transportation and VIP parking
  • Develop and maintain detailed event timelines, budgets, and logistics plans for multiple simultaneous projects
  • Provide on-site event management and troubleshooting to ensure seamless execution and attendee satisfaction
  • Support virtual and hybrid event coordination using innovative technology platforms and tools
