About The Position

Conference + Event Services is a diverse and nimble team that operates the Campus Conference Center schedules. We are seeking an experienced, organized administrator/coordinator with strong communication skills and a proactive, can-do attitude to support the team’s efforts.

Requirements

  • 3+ years of administrative experience
  • 1+ year of events management experience (Required)
  • 1+ year of customer service experience (Required)
  • Strong attention to detail and critical thinking skills
  • Ability to anticipate challenges and develop solutions
  • Excellent communication skills across all levels
  • Proven ability to deliver high-quality results with minimal direction
  • Strong time management and prioritization skills
  • Flexible, responsive, and able to adapt to schedule changes
  • Reliable transportation and ability to commute
  • Able to analyze situations, develop creative solutions, and see around corners to anticipate (and solve for) problems.
  • Superior communication skills, with an ability to summarize and share relevant information in a clear and easy-to-understand way, across all levels. You are poised and skillfully communicate to develop trust and strong partnerships.

Responsibilities

  • Manage Conference + Event Services calendar and communications
  • Answer and triage phone calls and emails
  • Conduct weekly conference room walkthroughs and provide status updates
  • Utilize the reservation system for space coordination
  • Coordinate facility work orders (furniture setups, janitorial, electrical, etc.)
  • Support basic AV needs including Webex, video conferencing, Keynote, and microphones
  • Provide a high level of customer service to stakeholders
  • Ensure accuracy of reservation tool details and maintain up-to-date standard operating procedures and team documentation.
  • Responsibilities may expand based on operational needs and may include additional tasks as assigned
