About The Position

Supports and assists other Village departments, supports and assists in resident enrichment and Village events, maintains Village transportation schedule, greets families and visitors, answers general inquiries, assists/directs to the appropriate party, performs clerical tasks, and assists with residents’ needs as needed.

Requirements

  • Education - High School Graduate/ General Education Degree (GED) or enrolled in program if under age 18.
  • Experience - One to two years of related clerical experience
  • Computer Skills- Must have proficient skills in computers and Microsoft Office Software

Nice To Haves

  • Five years of or more of experience in a senior living community preferred

Responsibilities

  • Operate office equipment such as fax machines, scanners, copiers, and use computers for spreadsheets, word processing, database management, and other applications.
  • Answer telephones with pleasant demeanor using PVM approved greeting, give information to callers, take messages, or transfer calls to appropriate individuals.
  • Greet people entering establishment with pleasant demeanor using PVM required greetings, determine nature and purpose of visit, and direct or escort them to specific destinations or appropriate persons according to their needs.
  • Mail and/or email newsletters, promotional material, or other information/documents using computer software to keep residents informed.
  • Order office supplies and other general supplies from approved vendor(s).
  • Occasional travel to pick up or drop off items for Village business.
  • Support and assist with wellness, activities, resident enrichments and Village events.
  • Assist with preparing the monthly newsletter, activity calendar, and activity flyer using computer software to keep residents informed.
  • Maintain Village transportation schedule.
  • Enter reported maintenance work orders received from residents and staff into PMWorx upon receipt and provide follow-up as warranted.
  • Maintain scheduling the use of community rooms and the board room for appointments and events on the Village’s calendars and leadership’s calendars.
  • Maintain the needed supplies for the office, the common spaces, and the boardroom.
  • Maintain the décor and tidiness of common spaces, the office area and the board room based on use of the space and the current season/holiday.
  • Schedule space or equipment for special programs, meetings, or events and communicate with the food service department if food items are required.
  • Perform administrative support tasks such as type, format, proofread, and recommend revisions on documents that make copies of correspondence or other printed material.
  • Provide collateral information to inquiries in the absence of leadership on site in the administrative offices.
  • Distribute incoming mail, packages, or other materials on the day received and prepare outgoing mail by the next scheduled pick-up.
  • File and maintain records following the records retention policy.
  • Attend and participate in all appropriate meetings and training opportunities in order to keep informed on current information and skill development which may involve travel on occasion to an off-site venue.
  • Follow established policies and procedures including but not limited to:
  • Presbyterian Villages of Michigan policies and procedures.
  • Safety policies and procedures.
  • Federal, state and local regulations.
  • All other duties as assigned
