About The Position

Our front desk concierge is the face of our client service team within our Toronto office. We are looking for someone with a composed and professional demeanor that can anticipate our clients’ needs, build long-term trusting relationships, and strive to improve client experience. Our concierge must be detail oriented, have an ability to multi-task, and prioritize the provision of exceptional service.

Requirements

  • Must be a Canadian citizen
  • Must be able to work overtime when required
  • 2+ years of experience in a front desk, concierge, hospitality, client service, or administrative support role (corporate, hotel, or professional services setting preferred). Legal environments a plus!
  • Experience managing client-facing interactions with a high degree of professionalism and discretion.
  • Familiarity with catering coordination, conference room management, or office hospitality operations is an asset.
  • Proficiency with MS Office Suite (Outlook, Word, Excel) and comfort learning new office systems or booking platforms.
  • Ability to set up, connect, and troubleshoot videoconferencing equipment (e.g., Zoom, Teams, WebEx).
  • Comfortable using office technology: printers, copiers, phones, badge access systems, AV equipment, etc.
  • Exceptional customer service orientation with the ability to anticipate client needs and create a welcoming, elevated experience.
  • Strong verbal and written communication skills with a polished, professional demeanor.
  • Ability to remain calm, composed, and solutions-focused under pressure or in a fast-paced environment.

Responsibilities

  • As the primary point of contact: greet clients upon arrival, organize and manage logistics, complete specific requests
  • Catering coordination: breakfast and lunch is ordered, set out, and tidied each day
  • Ensure all areas of catering are clean and well maintained, including replenishment of products
  • Prepare lists of orders – catering, supplies, products
  • Maintain boardrooms: set-up, connect, and troubleshoot boardroom videoconference technology, ensure supplies are stocked and refilled, reset the rooms for new matters
  • Execute on administrative duties as assigned
