About The Position

Willow Valley Communities (WVC) is seeking a friendly, professional Pool/PRN (as-needed) Concierge Team Member to be the welcoming first point of contact for our Residents and guests. In this role, you’ll create a warm and safe environment, facilitate clear communication across multiple channels, and support essential security and administrative functions. Requirements

  • Experience using Microsoft Office is required.
  • High school diploma or general education degree (GED); or one to three months of related experience and/or training; or an equivalent combination of education and experience.

Responsibilities

  • Maintain a professional appearance and demeanor while creating a warm, inviting, pleasant, and safe environment for all Residents and guests.
  • Welcome on-site guests, determine the nature of their visit, provide information and directions as needed, and announce guests to appropriate personnel in a friendly and courteous manner.
  • Answer incoming telephone calls, determine the purpose of callers, and transfer calls to appropriate Residents, Team Members, or departments.
  • Take and deliver messages or transfer calls to voicemail when appropriate personnel are unavailable.
  • Facilitate communication via two-way radio with Team Members away from phone connections.
  • Read and become familiar with WVC publications, Team Member Intranet, and Resident Intranet in order to accurately answer questions and provide callers with addresses, directions, and general organizational information.
  • Ensure key boxes are secure and that key permission procedures are followed when issuing keys.
  • Support the Resident move-out process by accepting keys and processing associated paperwork.
  • Acknowledge emergency phone calls and/or alarms in the Simplex system and dispatch appropriate Team Members to respond.
  • Facilitate communication among Team Members throughout the emergency until its conclusion.
  • Communicate as needed with the Manager on Duty, Maintenance Team Member on Call, Team Leaders, and various department Team Members.
  • Follow guest room check-in and check-out procedures and create guest room reservations upon request.
  • Read and become familiar with transportation schedules, make transportation reservations, and facilitate communication for WVC transportation services.
  • Submit maintenance requests for WVC property and Residents.
  • Submit IT service requests for WVC computers and phones.
  • Utilize a working knowledge of Microsoft Office software and learn additional software, databases, and web applications as required.
  • Receive, sort, and route USPS mail, in-house mail, packages, and floral deliveries.
  • Operate the copier and fax machines and ensure machines are adequately supplied.
  • Ensure the safe is locked and secured, collect payments for services, and reconcile daily cash box receipts.
  • Perform general typing duties, including memos, letters, schedules, correspondence, reports, and other documents as requested.
  • Maintain knowledge of daily Concierge Desk procedures and responsibilities.
  • Perform clerical tasks such as copying, faxing/scanning, and collating.
