About The Position

PROMONTORY (Park City, Utah) – Concierge Manager Promontory is the largest, luxury master planned community and private club in Park City, and arguably the most amenity-rich club in the country www.promontoryclub.com. Promontory Club is seeking a full-time, salaried Concierge Manager to oversee the day-to-day operations of the Concierge Department. The Concierge Manager is responsible for ensuring that all established standards of professionalism, service, and protocol are consistently upheld by the concierge team. This role includes the performance of various administrative and operational duties as assigned, all in accordance with Promontory Club policies, practices, and procedures. Additionally, the Concierge Manager is accountable for the training, development, and continuous improvement of hospitality skills, ensuring service delivery reflects the culture and brand standards of Promontory Club, characterized by friendly, efficient, and elevated member service.

Requirements

  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • College degree strongly preferred; minimum of 3-5 years of progressive experience in hospitality, property management, hotel, resort, or private club environments.
  • Active Utah Notary Public commission required, or the ability to obtain one within the first 30 days of employment.
  • Strong command of the English language, with the ability to communicate effectively in both written and verbal formats.
  • Demonstrated excellence in member, guest, and owner relations, with a professional, trustworthy, and service-oriented demeanor.
  • Exceptional customer service, interpersonal, and communication skills, including professional telephone etiquette.
  • Proven leadership ability with experience developing, mentoring, and motivating teams to achieve departmental standards and goals.
  • Strong organizational, time-management, and multitasking skills, with a high level of attention to detail and quality.
  • Sound judgment and decision-making abilities in a fast-paced environment.
  • Professional appearance and demeanor with the ability to interact effectively with all levels of staff, members, and business contacts.
  • Ability to obtain a Utah Notary Public commission upon hire: Abide by Promontory policies and procedures and submit ideas for possible revision; work independently with little supervision; organizational and time management skills.
  • Must be able to sit at a desk or in a meeting for extended periods of time; ability to lift 30lbs occasionally; must be willing to work various hours, nights, holidays and weekends.

Responsibilities

  • Provide overall leadership and supervision of Concierge staff, including recruitment, onboarding, training, coaching, performance management, and disciplinary action, while fostering positive and professional staff communication.
  • Oversee daily operations of the Concierge Department, including the preparation and management of work schedules to ensure optimal coverage and operational efficiency.
  • Regularly work a minimum of two to three shifts per week at the Concierge Desk to maintain firsthand knowledge of member needs, expectations, and inquiries.
  • Review, approve, and monitor department time punches and payroll for accuracy, compliance, and adherence to company policies.
  • Ensure Concierge staff is fully informed of all member events, local events of interest, and Promontory Club amenities, services, and schedules; maintain accurate and up-to-date reference materials.
  • Promote club and membership events and oversee the event reservation and registration process.
  • Provide operational support during special club activities as requested or assigned.
  • Manage the Lost and Found program for the membership in accordance with club policies.
  • Maintain and enforce all club rules and regulations governing the use of Promontory facilities and amenities.
  • Attend weekly Club Operations meetings and other meetings as scheduled.
  • Conduct daily walk-throughs of the assigned clubhouses to ensure cleanliness, functionality, and overall presentation standards are met.
  • Strictly enforce the privacy and confidentiality of all members and guests at all times.
  • Ensure completion of shift checklists and proper handoff and rollover of duties between shifts.
  • Ensure known member preferences are consistently met and appropriate amenities are provided; oversee the processing and documentation of all member and guest requests, including fitness, Kid’s Cabin, spa, golf, dining, travel, and other concierge services.
  • Serve as a public relations ambassador for the club by maintaining a professional demeanor and demonstrating a proactive willingness to assist members, guests, and management.
  • Maintain departmental assets, ensuring all equipment and materials are clean, properly tracked, checked out, and returned to designated storage areas.
  • Keep the Director of Club Operations informed of all pertinent departmental information, reporting irregularities, issues, or concerns promptly along with recommended solutions.
  • Prepare and distribute reports as requested by management to internal departments.
  • Notify the Director of Club Operations and/or Security of any unusual events, incidents, missing items, or alleged thefts; respond to emergency situations as directed.
  • Coordinate with Home Services and Sales departments to ensure proper check-in procedures for rental cabins and Discovery Packages.
  • Develop, facilitate, and promote hospitality training programs, including new hire orientation, guest service standards, communication skills, and service recovery.
  • Update and maintain training materials on an ongoing basis to reflect best practices and operational changes.
  • Perform routine notarial acts, including witnessing signatures and administering oaths, in full compliance with all Utah state laws.
  • Perform other job-related duties as assigned.
