About The Position

The AbilityOne Compliance Clerk provides administrative and clerical support to ensure the organization meets AbilityOne Program requirements, specifically those outlined in 51-402 (Compliance), 51-403 (Investigations), and 51-406 (Quality Assurance). This role supports documentation, recordkeeping, DQDs, PEIs, QERs, and assists with monitoring activities to maintain compliance across all AbilityOne contract sites. Responsibilities and duties of this position include but are not limited to: General AbilityOne Compliance Support (51-402) Maintain and update all compliance-related documentation, including disability documentation, job matches, direct labor hour records, and eligibility files. Track completion of required forms, assessments, QERs, and employee documentation to ensure files meet AbilityOne standards. Assist with assembling and organizing materials required for audits, reviews, and AbilityOne Commission inspections. Maintain accurate position assignments to ensure employees are matched to roles consistent with AbilityOne requirements. DQD (Documented Qualification Determinations) Prepare, organize, and maintain all DQD files to ensure documentation is complete, current, and compliant. Track DQD expiration dates and notify supervisors/HR staff when updates or re-assessments are needed. Ensure all DQD documentation is filed, uploaded, or archived according to internal SOPs and AbilityOne guidelines. PEIs (Personal Evaluation Instruments) Maintain tracking logs for PEI deadlines and completion requirements. Collect, review for completeness, and file PEIs in the appropriate employee folders. Follow up with supervisors to ensure timely submission of assessments. Assist in compiling PEI data for internal reporting. Administrative Support for Investigations (51-403) Provide documentation and clerical support during internal investigations, including gathering files, timekeeping records, training logs, and attendance data. Maintain confidential investigation files and ensure records are organized and secure. Support tracking of corrective actions and follow-up assignments. Quality Assurance Support (51-406) Collect quality assurance documentation, inspection results, and corrective action reports from contract sites. Maintain organized QA files and logs for internal review and customer requirements. File and track site visit notes and ongoing compliance checks from supervisory staff. Documentation & Reporting Assist the VP of HR and Senior HR Lead in preparing compliance-related reports, including those involving DQDs, PEIs, QERs, and eligibility documentation. Maintain both digital and physical filing systems to support compliance readiness at all times. Compile data and organize documents for quarterly, annual, and audit-related reporting. Training & Support Distribute compliance forms, updates, and process changes to supervisors and staff as directed by HR leadership. Provide clerical support during training sessions, including preparing handouts, attendance documentation, and follow-up communication. Assist supervisors in understanding document submission requirements and deadlines. Other Duties as Assigned Perform additional administrative or compliance-related duties as directed by the VP of Human Resources or senior leadership to support the HR and Compliance functions.

Requirements

  • High school diploma or equivalent required; Associate degree preferred.
  • Ability to read and write the English language.
  • Computer knowledge Microsoft 365
  • Experience in clerical, administrative, HR, or compliance support roles preferred.
  • Ability to pass a local and Level II Background check
  • Ability to follow all HIPAA laws
  • Strong attention to detail and accuracy in filing, recordkeeping, and data entry.
  • Ability to maintain confidentiality and handle sensitive employee information with professionalism.
  • Basic understanding of, or willingness to learn, AbilityOne Program requirements.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and electronic filing systems.
  • Strong communication and follow-up skills.

Nice To Haves

  • Associate degree preferred.
  • Experience in clerical, administrative, HR, or compliance support roles preferred.
  • Experience with AbilityOne or disability employment programs is helpful but not required.
