DEFINITION: Under immediate to general supervision, you will be responsible for tasks consistent with ensuring compliance with ODMHSAS Standards and Criteria. The Compliance Specialist will be responsible for working with new staff regarding applications for ODMHSAS certifications and creating NPI numbers. You will maintain annual clinical privileging documents on all clinical staff, maintain critical incident reports and develop quarterly analysis of incidents and trends, and monitor and gather required fire inspections, drills, and safety inspections for all sites. The Compliance Specialist will ensure all sites are compliant with ODMHSAS and OHCA requirements. The Compliance Specialist will assist with revising and re-writing agency policy and procedure along with designated staff. The Compliance Specialist will be supervised by the Director of Revenue Cycle and Compliance.

Requirements

  • High school diploma or its equivalent and five (5) years of progressively more responsible administrative experience.
  • Must have excellent computer and technology skills.
  • Must be proficient at developing and maintaining excel spreadsheets and producing data.
  • Proficiency in Microsoft Word, Excel, Power Point and other programs.
  • Must be a self-starter and able to work independently.
  • Must have strong technical writing skills.
  • Must have excellent interpersonal skills and the ability to work cooperatively with various types and levels of staff.
  • Demonstrated ability to function as liaison between professionals, community groups, businesses, and other agencies.
  • Must have strong attention to detail and enjoy the ability to provide in-depth analysis, accuracy, and precision to assigned tasks.
  • Must have strong critical thinking and problem-solving skills.
  • Excellent knowledge of telephone procedures, spelling, punctuation, grammar, and standard business letter forms.
  • Exceptional skill in dealing with the general public in sometimes difficult situations while maintain courtesy and diplomacy.
  • Ability to understand and follow complex oral and written instructions and technical or legal terminology.
  • Ability to establish and maintain effective working relationships a variety of governmental and public employees and officials.
  • Must be able to multi-task.

Nice To Haves

  • Bachelor’s degree in business administration, Communications, Public Health, or similar preferred.

Responsibilities

  • Responsible for tracking the expirations of certifications/licenses to maintain up-to-date files and for the maintenance and accuracy of the credentialing database information.
  • Assists Manager with obtaining credentialling documents from clinical staff.
  • Obtains NPI numbers for new staff and new sites.
  • Works with new hires to apply for certification(s) as a Case Manager, PRSS, F-PRSS, Wellness Coach, or BHA.
  • Will maintain communication with staff until they receive their certification.
  • Responsible for ensuring that up-to-date clinical privileging forms are completed on clinical staff and obtains annual attestations from supervisors.
  • Assures compliance standards are met and deficiencies are corrected.
  • Assists in preparation for audits as directed by the Director of Revenue Cycle and Compliance and the Chief Clinical Compliance Officer (CCCO).
  • Ensures that all sites are compliant with building requirements by ODMHSAS and OHCA standards.
  • Completes pictorial walk-thru’s of new buildings for certification.
  • Updates pictorial walk-thru’s for ODMHSAS audits.
  • Works as a back-up to the Quality Improvement Specialist for tracking ETPS outcome measures.
  • Communicates, reminds, and monitors site supervisors regarding annual fire inspections, site drills, and site safety inspections.
  • Works with Maintenance Supervisor regarding any deficiencies.
  • Gathers and monitors Critical Incident reports.
  • Creates a quarterly report regarding incidents and trends for the Performance Improvement Committee.
  • Works with designated Lighthouse leaders to update agency policies and procedures as requested and maintain policies in our electronic learning system.
  • Assists with tracking and extracting reports and data regarding consumer surveys, performance improvement goals and other required information for various Lighthouse grants and ODMHSAS Standards and Criteria.
  • Assists in creating and monitoring information and documents posted on Lighthouse’s internal shared network from the Training and Compliance Department.
  • Employee must be willing and able to perform all job-related travel normally associated with this position.
  • Must meet “satisfactory” expectations at any scheduled job performance evaluation, coaching and/or Performance Improvement Plans.
  • Must complete Lighthouse required training and resulting follow up and consultation as required at hire, annually and as directed by Supervisor.
  • Performs other reasonably related duties as assigned by the immediate supervisor or other management as requested.
  • In addition, must possess skill in working cooperatively and effectively with clients, staff, management and other professional and community groups; in exercising mature judgment in dealing with people; in presenting ideas clearly and accurately; in reading and comprehending the English language; and in communicating effectively, both orally and in writing.
