The Compliance Specialist will be responsible for assisting the Vendor Management Department with performing secondary (sometimes primary) audits of annual reconciliations for cost recovery and lease compliance for NFM Lending’s Corporate and Retail Branch operations, including but not limited to interpreting lease language, identifying and amicably resolving billing disputes, drafting internal standard operating procedures, preparing compliance reports and conducting internal compliance audits. By leveraging technology, s/he will contribute to assessing, identifying, and monitoring potential third party risks that may threaten our reputation, safety, security, and/or financial success, as well as collaborate with the team in communicating and collaborating with key stakeholders across the enterprise and understanding business objectives. This role is intended to achieve efficiency gains as well as savings resulting from improved cost controls, consistent contract review and monitoring, and identification of redundant services.

  • Lease Administration
  • Actively manage all aspects of lease administration for the NFM Family portfolio.
  • Ability to understand Lease terms and conditions and contribute to negotiations with NFM Sales and external brokers/landlords.
  • Primary review and drafting of terms/clauses/conditions to incorporate in leases.
  • Work and collaborate with the branch administrators to establish and/or transfer utilities accounts and other branch services.
  • Coordinates with branch on maintenance and repair issues as specified in leases.
  • Responsible for obtaining and delivering the certificate of insurance(s) for all appliable parties.
  • Reporting and tracking of leases, renewals, amendments, rent commencements, critical dates, and new locations in the contract management database.
  • Work with Accounting department to ensure timely and appropriate payment of rents, utilities and other property-related expenses as needed and are reimbursed and/or paid as appropriate.
  • Effectively communicate, work with, and build relationships with all levels of constituents including culturally and linguistically diverse staff members and external candidates and/or vendors, while operating in a fast-paced customer service driven environment.
  • Vendor Management
  • Role in request for approval/proposal, vendor selection, contract negotiation, and ongoing vendor monitoring.
  • Management of software for vendor intake and contract relationship.
  • Collect due diligence/risk assessment for vendor approval and establish a risk ranking for each vendor.
  • Schedule demonstration calls and follow-up correspondence with third parties as directed.
  • Complete first draft/review of contracts and agreements.
  • Serve as point of contact for third party risk oversight activities.
  • Ensure that contract and service levels for assigned third parties are adhered to both from an operational and regulatory standpoint
  • Communicate with internal customers regarding ongoing compliance of vendor network within company database.
  • Overall
  • Complete external/internal audits in a timely manner.
  • Communicates compliance and legal issues to Compliance Staff and NFM Management.
  • Assists in advising Sales/Management Staff on all lease matters to ensure compliance with all applicable laws, regulations, and guidelines.
  • The Compliance Specialist is expected to maintain satisfactory attendance and report to work on time every day.

  • Expert-level knowledge of Microsoft Office software, especially Word, Excel and Outlook.
  • Technology and Internet savvy, with experience managing online accounts with multiple logins and access points needed.
  • Ability to read, understand and interpret legal documents, including leases, contracts, and other agreements. Prior administrative experience in an office environment is also necessary.
  • Must work independently, take the initiative on projects, and have consistent follow through.
  • An organized and highly motivated individual with attention to detail is critical for success.
