About The Position

The Compliance Clerk provides vital administrative and operational support to the Compliance Department. This role is responsible for overseeing day-to-day vehicle maintenance and coordinating insurance repairs and claims to minimize fleet downtime. Additionally, this position is responsible for reporting critical data to the Compliance & Risk Manager to facilitate comprehensive claim investigations and departmental reporting.

Requirements

  • Proficient in relevant software so much as Microsoft Office suite, and internal management software.
  • Pay attention to detail, review documentation, verify information, and identify potential issues or discrepancies.
  • Provide clear and concise information to the public when answering inquires and communicating with internal teams.
  • Read and comprehend instructions, correspondence, and memos. Able to address concerns, resolve issues and find solutions to compliance-related questions.
  • Manage tasks and responsibilities with minimal supervision.
  • Possess a high level of adaptability and willingness to embrace change in practices, policies and procedures.
  • Systematically gather, evaluate, and interpret complex data to support accurate decision-making.
  • Maintain a comprehensive knowledge of relevant vendor guidelines and compliance procedures.
  • Convey information clearly and concisely across various organizational levels.
  • Manage and execute projects within strict timelines while maintaining high-quality standards.
  • Uphold a high degree of confidentiality regarding sensitive internal and external information.
  • Articulate perspectives persuasively and maintain a constructive tone in both routine and high-pressure situations.
  • Produce clear, informative documentation with meticulous attention to grammar and accuracy.
  • Foster a culture of respect and consideration when collaborating with colleagues and stakeholders.
  • Demonstrate a consistent commitment to the established work schedule and operational needs.
  • Associate’s degree (A.A) or equivalent experience with data entry, spreadsheets, and running daily reports.
  • Good verbal communication skills by phone.

Responsibilities

  • Administer vendor websites and portals, including OnStar, Enterprise Fleet Management, and WEX to ensure data accuracy and operational continuity.
  • Liaise with fleet management companies, vendors, and suppliers to facilitate equipment repairs, rental car arrangements, and vehicle maintenance and returns.
  • Organize, distribute, and record vehicle registration renewals and insurance cards to ensure legal fleet operation and compliance.
  • Assist with administrative tasks and documentation related to insurance claims and incident reporting.
  • Review rental reservations, lease agreements, and billing statements for accuracy to ensure cost control and contract adherence.
  • Import and manage critical information within Excel, tracking driver records, traffic citations, safety complaints, and vehicle specifications.
