About The Position

To inspire and prepare each and every scholar with the confidence, courage and competence to achieve their dreams; contribute to community; and engage in a lifetime of learning by managing the community education data systems. This includes providing user training, troubleshooting hardware and software issues, offering on-site and phone/email support, assisting families with account questions, supporting stakeholders with system needs, and contributing to overall program system development and reporting. Who We Are: Kidstop, Four Star Express and Blast provide high-quality school-age care and early learning programming for Osseo Area Schools. We support more than 1,300 working families throughout the school year and summer months by offering safe, equitable, and engaging environments where youth can learn, grow, and thrive. Our programs focus on building strong relationships, offering choice-based learning opportunities, and creating inclusive spaces for all scholars. We serve youth across multiple elementary buildings. The office team plays a critical role in ensuring smooth day-to-day operations, strong communication with families and staff, and the overall success of our programs during both the school year and summer seasons.

Requirements

  • Minimum of Associate's Degree or a two year college or technical school certification required or eight years of related experience.
  • Demonstrable ability to manage large data processing applications including design, implementations, training and coordination.
  • Demonstrable experience with systems report writing and word processing.

Nice To Haves

  • Preferred three years experience in related field.
  • Desired three years District experience using system applications.
  • Experience working with tuition billing and registration systems within Community Education is preferred.

Responsibilities

  • Provide support to program staff, families and leadership in day to day tasks.
  • Communicate effectively with internal and external stakeholders.
  • Providing timely technical support to program users; including software updating and inventory.
  • Investigating, researching, documenting, reporting and solving problems encountered that affect programs data and registration systems and processes.
  • Monitoring and creating data from software or programs; assisting in improving procedures as needed.
  • Entering information into systems to maintain accurate record keeping and tracking.
  • Providing technical support to District Administrators related to overall program systems and operations.
  • Creating, establishing, and reviewing communication; supply tools or resources to use software programs.
  • Developing and revising user friendly documentation for proper use of program applications and resources.
  • Providing training and instruction to system users.
  • Reviewing information to ensure accuracy and providing feedback in a timely manner.
  • Retraining or training staff on new releases of software and updating users on program changes.
  • Providing high quality customer service to users via oral communications and written communications.
  • Assisting with overall enrollment, registration and program building and documentation.
  • Planning, organizing, executing and managing registration and program system procedures and timelines to ensure proper operation and program timelines.
  • Coordinating and directing the systems to support required reporting or technical assistance as it relates to program requirements and compliance.
  • Serving as contact person for required applications or areas as required.
  • Monitoring the system integrity and security.
  • Insuring and maintaining the confidentiality of data files.
  • Assisting and supporting state compliance with state guidelines and assisting stakeholders as needed.
  • Designing and generating customized reports as necessary to meet the needs of the program and administrators and staff.
  • Generate, track data and analyze program operations on going.
  • Analyzing users' requests and determining support that can be utilized. Designing or requesting customized enhancements or working with vendors to enhance as needed.
  • Reconciling systems to ensure fidelity of software or accounts.
  • Collaborate with child care assistant or other state programs to ensure accurate billing, reconciliation and financial accountability for program participants.
  • Communicate with families and program users regarding account balances, outstanding payments and payment resolution, providing guidance and support as needed.
  • Performing other duties of a like or similar nature as assigned.
