About The Position

BBBSI seeks an Enrollment and Matching Specialist, tasked with facilitating the enrollment processes of "Big" and "Little" mentoring relationships, “Matches” through conducting information/orientation sessions, interviews, writing assessments, processing applications, matching, and administrative tasks, including inputting notes into the database website. Typically, the position is based in an office environment and requires occasional travel. ? A typical schedule involves 2 evening shifts per week and 1 weekend day per month. Expected to staff one in-person match activity each quarter of a weekend as needed. Candidates with a strong connection to the community that BBBSI serves, and the Southeastern Pennsylvania/Southern New Jersey area receive preferential consideration.

Requirements

  • JOB QUALIFICATIONS
  • Academic Requirements: High School Diploma and 4 years relevant experience OR associate's degree (Some college experience) and 2 years relevant experience OR Bachelor’s Degree.
  • Professional Requirements: Must effectively learn and utilize BBBSI’s internal database systems for tracking and recording information. You must be comfortable with public speaking. Experience in human services, with youth service organizations and socioeconomically diverse populations is preferred. Fluent Spanish-speaking skills is preferred (verbal & written). Must be willing to grow in the role of a Senior Level Enrollment and Matching Specialist within the first 6 months.
  • Additional Requirements: Must have consistent and dependable access to a car, valid driver's license, and meet State-required automobile insurance minimums to facilitate off-site interviews when needed.

Responsibilities

  • Orienting Volunteers
  • Presents individual and group orientation sessions, to explain the program and encourage potential volunteers to continue in the enrollment process.?
  • Interviewing
  • Conduct enrollments including guardian, youth, and volunteer interviews, youth safety education, and other intake procedures.
  • Ensure high-level proficiency in applying child safety and risk management knowledge, policies, and procedures throughout all aspects of job function.
  • Identify child safety issues for volunteers, youth, and their families.
  • Involve Program Manager in any child safety concerns or reporting to DHS.
  • Screening
  • Conducts phone and email reference checks for volunteers.??
  • Enter complete and timely applicant information into Salesforce CRM system.
  • Maintain accurate records according to BBBSA, database and agency standards, BBBSA Service Delivery Model, and BBBSI Program Manual.
  • Assessment & Recommendations
  • Writes thorough professional assessments of volunteers and clients with recommendations for acceptance into the program and matching preferences.?
  • Makes recommendations for participation in program based on all data reviewing all enrollment information and assessments. Effectively aligns volunteer/client interests and qualifications with service options of Agency.
  • Matching
  • Match Making (Match Introduction Facilitation) – Done in conjunction with the Match Support Team
  • Pairs, volunteers and children in 1:1 matches making recommendations to Match Support staff for subsequent training and support needs.
  • Collaborates with other staff to ensure a smooth transition between functions.
  • Facilitates presentation calls between proposed Little and Big Matches for matching approval.
  • Facilitates initial virtual or in-person Match Meetings (virtually, in clients’ homes or in BBBSI offices).
  • Reviews ground rules and expectations during the Match Meeting to lay the foundation for a successful match relationship.?
  • Ensures the Match Support Team has all the information they need to successfully support the Match and collaborate as needed.
  • Other:
  • Share with development, marketing, recruitment staff potential partnership relationships as discovered through volunteers and parents’ employers, affiliations, and community stakeholders.
  • Assist at agency events as needed.
  • Other duties as assigned or requested by Program Manager.
