The Museum of Modern Art is currently accepting applications for a Communications and Public Affairs Coordinator. Reporting to the director of Communications and Public Affairs, the incumbent coordinates and helps implement administrative and departmental workflows for Museum publicity and public affairs strategies, internal communications, budget, mailings and press site, film and photo shoots, events, and special projects. Additional responsibilities include: Monitors [email protected], the Museum’s e-mail inbox for all press and public inquiries. Routes project-specific press requests to the appropriate staff, monitors for sensitive issues, and handles general, image, and collection requests. Supports the director and assistant director in protecting confidential information and coordinating press requests related to labor relations, trustees and donors, and corporate sponsors. Maintains the Museum’s press site, including uploading and managing images, texts, audio, and video content. Manages the department’s press mailings and recipient press lists, including building mailings in the Museum’s digital software platform and maintaining and updating all lists. Projects, tracks, and maintains the department’s annual budget, in coordination with the department director and senior staff, as well as with relevant internal departments, and manages to budget process deadlines. Provides administrative support to the department, negotiating and processing media and agency contracts and invoices, tracking and filing vendor contracts, and managing media subscriptions. Coordinates the Museum’s process for filming and photography shoots, including vetting film crews and making recommendations to the public relations manager, director, and general counsel’s (GC) office on which crews to allow to shoot at MoMA, handling location agreements with GC, and coordinating scheduling, logistics, and escort plans for approved shoots. Monitors, compiles, and publishes media reports for staff and Board of Trustees; serves as liaison and manages quality control with external media monitoring vendor; shares reporting trends and cultivation leads with department staff. Manages the production and distribution of annual press passes. Assists with and represents the department at Museum special events. Performs any other duties reasonably related to the functions described above.
