About The Position

The Commercial Loan Documentation Specialist is responsible for managing all aspects of the commercial loan process, ensuring accurate and timely processing from the receipt of loan applications to the closing and disbursement of funds. This role requires compliance with state and federal regulations, as well as adherence to company policies and established Standard Operating Procedures (SOPs). The specialist will work collaboratively within a team to facilitate the efficient progression of loans through the pipeline, while also representing the bank professionally to both internal and external customers.

Requirements

  • High school diploma or equivalent with a minimum of 2 years' experience processing commercial and/or small business loans.
  • College degree in business, finance, or related field of study preferred.
  • Knowledge of agency guidelines and industry standards related to commercial lending.
  • Exceptional organization, time management, and follow-up skills.
  • Excellent interpersonal skills and ability to communicate effectively with customers, bank employees, and outside service providers.
  • Ability to follow detailed instructions and a wide range of procedures requiring sound judgment.
  • Ability to perform complex mathematical computations using various business machines and/or computers.
  • Proficient typing and computer skills.

Responsibilities

  • Process and prepare loan documentation for new, renewed, and amended commercial and small business loans.
  • Support sales, consumer loan, and mortgage department personnel as needed.
  • Represent the Bank to both internal and external customers in a courteous, professional manner in face-to-face, written, and telephone communications.
  • Ensure adherence to all regulatory and compliance standards including the Bank Secrecy Act (BSA).
  • Protect confidentiality of customer and account information.
  • Demonstrate commitment to community involvement through active participation in local organizations and events.
  • Receive loan applications from Commercial Credit and enter loans into the Laser Pro System.
  • Maintain loan pipeline, tracking loans in process to ensure timely completion.
  • Order critical documents and verifications, including appraisals, title work, and flood certifications.
  • Examine and verify authenticity of documents and submit to the Commercial Lender for determination.
  • Prepare Commercial Loan Closing packages for CBS input and imaging, verifying approval conditions prior to releasing loan documents.
  • Communicate regularly with commercial lenders regarding loan progress and items needed for approval.
  • Address customer questions and concerns through investigation and corrective action or in consultation with the Loan Officer.
  • Schedule closing appointments with Loan Officers and title companies.
  • Prepare disbursement checks and arrange wire transfers.
  • Perform post-closing verifications and prepare payoff letters, as well as release of mortgages or other collateral.
  • Review draw requests on commercial lines of credit and construction loans to ensure funds are disbursed within guidelines.
  • Maintain file coverage for team members out of the office and provide backup support for consumer declines and credit score disclosure letters.
  • Report suspicious transactions or unusual occurrences to supervisor.
  • Conduct and document periodic risk reviews and run reports as needed.
