About The Position

The primary function of this position is to provide support to Commercial Loan Officers and the lending team. This individual will work closely with the loan officers and borrowers to effectively coordinate the origination, modification, extensions and maintenance of commercial loans and letters of credit as well as assisting customer’s needs in other areas of the bank. In addition, this individual will help assist the officer’s role of a relationship manager and provide backup support to other loans and administrative assistants when necessary. This individual will be the liaison between the lender, borrower, and the documentation department in coordinating the processing of approved new commercial loans, letters of credit, extensions, modifications, loan advances, and any other documentation as necessary. Conduct relationships and activities consistent with established Bank policies, procedures and systems, the corporate code of conduct, Bank Secrecy Act and all applicable State and Federal laws and regulations.

Requirements

  • High school education or equivalent.
  • At least two years of experience in general office work or completion of an associate degree in Administrative Office Systems or a related area.
  • Knowledge of modern office practices and procedures; accurate grammar, spelling, punctuation, and standard English usage; business correspondence formats, record keeping and filing methods; basic math calculations. PC skills required; knowledge of Microsoft Word, Excel, and Outlook preferred.
  • Ability to scan, sort, cross-index, and file correspondence, reports, records, and other materials according to alphabetical or other acceptable organization methods.
  • Must possess good judgment and organization skills, the ability to prioritize, and handle confidential information.
  • Ability to deal effectively and courteously with a large number of associates and members of the general public.
  • Ability to read, write, and speak English. Effective oral and written communication skills.
  • Ability to interpret and follow a variety of instructions furnished in written, oral, diagram, or schedule form and complete assignments without detailed directions.
  • The ability to independently plan, prioritize, organize, and complete work in an efficient manner. Ability to work quickly and accurately under moderate supervision. Attention to detail required.
  • Willingness to assume additional responsibilities/duties/projects as they arise.
  • Ability to maintain regular and punctual attendance.
  • Ability to operate office equipment including computers, scanners, calculators/adding machines, telephones, voice mail, etc.

Nice To Haves

  • Previous loan experience is preferred.
  • Previous banking experience is preferred.

Responsibilities

  • Order and review title insurance, flood certifications, appraisals, UCC searches and insurance.
  • Review loans in process for accuracy, technical exceptions and adherence to policies, laws, and regulations; report exceptions to commercial loan officers.
  • Help schedule loan closings and disburse loan proceeds. May close loans on occasion.
  • Follow up on documentation exceptions and/or any outstanding items.
  • Ensure loan advances are handled accurately, according to instructions and in keeping with policy, report exceptions to the commercial loan officer.
  • Direct contact and correspondence with customers’ need in other areas of the bank including deposit accounts, wire transfers, cash management, phone transfers etc.
  • Prepare transactions, reports, correspondence, memos, and perform other clerical/administrative duties in an accurate manner.
  • Handle phone calls, take messages, schedule appointments and meetings, and assist with meeting preparation as needed.
  • Respond to internal and external inquiries regarding the status of loans in process, technical exceptions, loan documents and other banking-related questions.
  • Remain alert for and report on potential business opportunities.
  • Provide accurate product information and actively seek cross-sell opportunities; make appropriate business referrals to other departments.
  • Establish, implement, and maintain methods and procedures to ensure all loan actions are processed correctly and timely. Maintain a comprehensive procedures manual on all job responsibilities.
  • Consistently demonstrate proficiency in providing exemplary customer service in person and by telephone. Maintain a friendly, positive, and professional attitude. Resolve difficult situations with tact and diplomacy.
  • Operate a variety of office administration equipment such as PC, copy machine, calculator, printer, scanner, etc. Utilize computer software applications such as word processing, spreadsheet, Outlook, credit bureau, and Internet.
  • Advise Administrative Officer of problems with procedures, policies, improper calculations, deadlines, and other problems.
  • Handle routine administrative details for the department including ordering office supplies, various requisitions, and service calls on equipment.
  • Maintain a neat and orderly work area and ensure that all confidential records are secured and/or disposed of properly.
  • Attend all required training.
  • Assist others in the department as needed and/or directed.
  • May be assigned other duties and responsibilities. May be assigned work or training at other assigned locations.
