About The Position

The Commercial Administrative Assistant provides support to the regional field sales teams. This position is designed to support a wide range of administrative tasks and free up the sales team to drive more volume into the region. This position acts as a liaison between the field sales team and other key internal and external stakeholders involved in onboarding of new patients to Soleo Health. Responsibilities Include:

Requirements

  • High School Diploma or Equivalent
  • 2 years of experience in an office setting/environment
  • Proficient in Microsoft Suite (Excel, Word, PowerPoint, Outlook) a must
  • Professionalism, Problem Solving, Supply Management, and Inventory Control
  • Strong communication skills, both oral and written
  • Healthcare or Medical field background required

Nice To Haves

  • Office Management and experience working with Leadership a plus

Responsibilities

  • Performs general clerical duties to include but not limited to answering calls, photocopying, faxing, scanning, mail distribution, and sales supply inventory management.
  • Available to work a hybrid schedule with on-site requirements at our Houston, TX branch
  • Act as general liaison between field sales and patient access, TCMC, and local fulfillment centers where appropriate.
  • Monitor all referral platforms like Curaspan, Allscripts, Wellstar, Epic, etc. along with fax queues and emails for new referrals, orders etc.
  • Communicate and monitors Insight and TEAMS threads to notify patient access of referrals in process and help establish order of priority.
  • Facilitate team calls to review referral activity and status of pending patients.
  • Establish platforms within TEAMS to assist with overall communication.
  • Responsible for the coordination and scheduling of internal and external commercial meetings; gathers and prepares necessary agendas, materials, and handles all other logistics.
  • Creates therapy specific customer packets for territory managers.
  • Interface directly with customers and referral partners when necessary.
  • Facilitate the transmission of pertinent documents and reports to referral partners.
  • Send acknowledgement and appreciation messages to health care provider offices after receiving a referral.
  • Prepare Excel, Word, and PowerPoint documents as required.
  • Possess a high level of confidentiality, honesty, and integrity in all matters.
  • Consistent and punctual attendance. Must be able to adapt to and support changing schedules and priorities.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral diagram, or schedule form.
