About The Position

The Finance Division at DOHMH is seeking to hire one highly motivated, detail-oriented College Aide to assist with processing competitive health and human services procurements in the Bureau of the Agency Chief Contracting Officer (ACCO). The College Aide will report to the Assistant ACCO-Procurement Optimization.

Requirements

  • Matriculation at an accredited college or graduate school.
  • Employment is conditioned upon continuance as a student in a college or graduate school.

  • Competence with office equipment (computer, printer, photocopier, scanner).

Responsibilities

  • Proofread and format solicitation documents to align with established practices and templates.
  • Under supervision, configure solicitations and proposal questionnaires in PASSPort, the City's end-to-end procurement and financial system.
  • Assist with vendor communications by email, phone, or remotely (such as MS Teams).
  • Under supervision, update and maintain files (both paper and electronic) and databases.
  • Create reports as requested.
  • Check records for accuracy of information and for conformity with established policies and procedures.
  • Perform a variety of clerical/administrative assignments, including handling routine email assignments, assisting with meeting coordination and scheduling, taking notes at meetings, and performing general office functions such as typing, photocopying, scanning, and answering the phone.
  • Perform other duties as needed, including special projects.
