About The Position

We are seeking a detail-oriented and tech-savvy CMMS (Computerized Maintenance Management System) Coordinator to support our education facilities' maintenance operations. The CMMS Coordinator will manage the digital system used to plan, track, and optimize facility maintenance activities, ensuring timely and efficient management of work orders, preventive maintenance, and asset tracking. This role is integral to maintaining a safe and efficient learning environment for students and staff.

Requirements

  • High school diploma or equivalent required; associate's or bachelor's degree in facilities management, information systems, or a related field is preferred.
  • Minimum of 2 years of experience managing or supporting a CMMS platform in a facilities management or maintenance environment.
  • Experience in the education sector is a plus.
  • Proficiency in using CMMS platforms (e.g., FacilityDude, TMA Systems, SchoolDude, or similar software).
  • Strong computer skills, including Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent organizational, problem-solving, and communication skills.
  • Ability to work collaboratively with cross-functional teams.
  • Detail-oriented with the ability to multitask and manage time effectively.

Responsibilities

  • Manage and maintain the CMMS database, ensuring accuracy and up-to-date records for assets, equipment, maintenance schedules, and work orders.
  • Enter, update, and track work orders, preventive maintenance schedules, and asset information.
  • Receive, prioritize, and assign maintenance requests through the CMMS platform to appropriate staff or contractors.
  • Monitor work order completion, ensuring deadlines are met and issues are resolved promptly.
  • Develop and implement preventive maintenance schedules for critical systems and equipment, such as HVAC, plumbing, electrical, and mechanical.
  • Track compliance and ensure all scheduled maintenance is completed on time.
  • Maintain an accurate inventory of facility assets, including equipment, parts, and tools.
  • Ensure proper documentation of asset lifecycles, repairs, and replacements.
  • Generate reports from the CMMS to track maintenance trends, resource utilization, and performance metrics.
  • Analyze data to identify opportunities for process improvement, cost savings, and enhanced maintenance efficiency.
  • Work closely with maintenance staff, custodial teams, and administration to coordinate maintenance activities and minimize disruption.
  • Train staff on proper use of the CMMS system and provide ongoing support as needed.
  • Ensure maintenance activities comply with local, state, and federal regulations.
  • Support documentation requirements for audits, inspections, and safety protocols.
