About The Position

As a CMMS Administrator, you'll be the operational hub that keeps facility maintenance running smoothly and efficiently, serving as the critical link between customer requests, technical teams, and system optimization. This role centers on managing the complete work order lifecycle—from receiving and routing service requests to ensuring timely completion and customer satisfaction—while maintaining the integrity of the computerized maintenance management system that drives operational excellence. You'll combine strong customer service skills with technical coordination abilities, assessing work requests, assigning them to the appropriate trade technicians, and keeping stakeholders informed throughout the process. Requirements

  • High School Degree or equivalent required
  • 1-3 years of applicable experience in facilities operations or maintenance coordination in CMMS systems
  • Previous experience with computerized maintenance management systems (CMMS) or work order platforms
  • Proficient in Microsoft Office applications for documentation, communication, and basic reporting
  • Superior ability to plan and manage work independently, meeting deadlines under minimal supervision

Nice To Haves

  • Trade school or undergraduate education in facilities management, business administration, or related field
  • Understanding of facilities management trades, common repairs, parts, and services to support accurate work order routing
  • Strong Microsoft Excel skills for data management, reporting, and analysis
  • Ability to read, understand, and follow Standard Operating Procedures (SOP) and Work Instructions (WI)
  • Certified Reliability Leader credential or similar professional certification

Responsibilities

  • Receive and process incoming work orders from the work order system, serving as the main point of contact for work requests from the Service Center and routing them to appropriate personnel
  • Assess the scope of each work request and accurately determine which trade-specific technician should be assigned, conducting field inspections when necessary to evaluate jobsite conditions and user impact
  • Coordinate assignment and scheduling of service personnel or route work to requisite vendors, ordering necessary materials from suppliers to support timely job completion
  • Maintain proactive communication with customers and requestors regarding work status, schedule estimates, completion timelines, and any changes, soliciting feedback to support continuous improvement
  • Support work order completion and closeout processes, ensuring customer acknowledgement of fulfillment and receiving and responding to customer concerns and issues in a timely manner
  • Perform CMMS upkeep as directed, maintaining asset information, bills of materials, safety procedures, preventative maintenance programming, and master maintenance planning data
  • Verify customer and order information for correctness, directing specified departments or units to prepare and ship orders to designated locations
