About The Position

The Club Accounting & Membership Services position is responsible for overseeing all membership billing and accounting functions while supporting day-to-day office operations and member services. This role serves as a key point of contact for members, management, and staff, ensuring accurate financial records, smooth membership administration, and professional coordination of club events and communications.

Requirements

  • Accounting, finance, or business administration experience preferred
  • Strong understanding of billing, accounts receivable, and financial reconciliation
  • Excellent organizational and time-management skills
  • High attention to detail and accuracy
  • Professional communication and customer service skills
  • Proficiency in accounting software, spreadsheets, and office systems

  • Previous experience in a private club, hospitality, or membership-based organization is a plus

Responsibilities

  • Manage all membership billing, invoicing, and payment processing
  • Maintain accurate member accounts, ledgers, and financial records
  • Reconcile accounts, deposits, and monthly statements
  • Assist with budgeting, financial reporting, and audits as needed
  • Coordinate with external accountants or auditors when required
  • Ensure compliance with club policies and accounting standards
  • Process payroll and benefits
  • Administer all aspects of membership accounts, including new member setup, renewals, changes, and terminations
  • Serve as the primary contact for member billing questions and account inquiries
  • Maintain membership records and databases with accuracy and confidentiality
  • Prepare and distribute membership communications, statements, and notices
  • Oversee daily administrative and office operations
  • Maintain organized filing systems and internal records
  • Support club management with administrative tasks and reporting
  • Coordinate with other departments to ensure smooth club operations
  • Assist with billing, tracking, and administrative support for club events and tournaments
  • Coordinate event-related communications, registrations, and payments
  • Participate in and support BEO meetings, ensuring accurate billing details, member charges, and financial coordination
  • Support special projects and club initiatives as assigned
