About The Position

The Mission Neighborhood Health Center (MNHC) is a non-profit, multi-site community health organization offering comprehensive health services in the Mission and Excelsior Districts of San Francisco. The center offers primary health care services, adult medicine, pediatrics, family planning, OB/GYN, HIV and homeless services. We advocate for health equity and deliver innovative, high-quality services responsive to the neighborhoods and diverse communities we serve. We are currently looking for qualified candidates for our Clinical Vaccine and Medication Coordinator role. This position reports to the Director of Clinical Operations and is a Regular, Full Time, Non-Exempt role with a starting hourly range of $25.66 to $27.58 with full benefits. Primary Objective: The Clinical Vaccine and Medication Coordinator supports vaccine management, data reporting, and other clinical operations projects in multiple sites.

Requirements

High School Diploma.
Medical Assistant certification from an accredited program.
Minimum of 2 years of experience working in a healthcare setting.
Proficiency using an Electronic Health Record system, preferably Epic.
Proficiency in Microsoft Office applications: Outlook, Word, Excel.
Demonstrated experience with vaccine administration, clinical workflows, or supporting immunization programs.
Ability to follow detailed protocols related to storage, handling, and documentation of vaccines or medications.
Strong organizational skills with experience maintaining logs, inventory, or compliance records.
Ability to serve as a float medical assistant and maintain competency in core medical assistant duties.
Strong attention to detail, accuracy, and adherence to safety protocols.
Ability to work professionally and ethically within multi-cultural settings, including ability to maintain confidentiality and privacy of persons, documents, data, and communications.

Nice To Haves

Associate degree in a healthcare related field (may be substituted with additional relevant experience).
Experience working in a nonprofit, FQHC, or community health center environment.
Prior experience managing or supporting vaccine programs (VFC, VFA, EZIZ, CAIR, immunization audits, etc.).
Familiarity with medication management practices including ordering, storage, compliance, and documentation.
Knowledge of public health programs, state and local vaccine requirements, or emergency preparedness protocols.
Experience partnering with pharmacy teams on medication workflows, audits, or inventory management.
Experience conducting trainings, leading audits, or supporting quality improvement initiatives.
Familiarity with third party reimbursement programs related to vaccines and medications.
Bilingual in English and Spanish preferred.

Responsibilities

Coordinate and ensure compliance with all vaccine program requirements, including VFC, VFA, SFDPH Influenza Program, SFDPH Hepatitis Program, the California COVID-19 Vaccination Program, and private vaccine ordering.
Serve as the day-to-day point of contact for external public health programs and vaccine suppliers.
Oversee proper storage, handling, and transport of all vaccine deliveries, including implementation of emergency response plans when needed.
Monitor, document, and report temperature excursions, storage issues, and compliance concerns to the Supervisor in a timely manner.
Maintain accurate and up to date documentation, including inventory logs, temperature logs, storage equipment monitoring, and program records.
Track inventory levels, place vaccine orders, rotate stock, and ensure timely removal and disposal of expired vaccines per protocol.
Works with the Supervisor to evaluate and secure the most cost-efficient vaccine purchasing options—regularly comparing pricing across direct manufacturer programs, physician buying groups, and group purchasing organizations—to support clinical and financial sustainability.
Monitors and identifies new federal, state, county, and city funding opportunities related to vaccines and alerts leadership to potential programs.
Reports vaccine errors, support root cause analysis, and participate in corrective action planning.
Manage CAIR (California Immunization Registry) operations, including EHR interface troubleshooting, user account creation, and staff training.
Oversee accurate documentation of vaccine inventory and immunization orders in Epic (MNHC’s Electronic Health Record).
Support annual Flu Clinics, including vaccine supply management and immunization workflows for patients and staff.
Support monthly MA and RN vaccine trainings and present vaccine program performance metrics at meetings.
Prepare for, participate in, and lead vaccine program audits.
Train and maintain competency of designated back up vaccine coordinators.
Track EZIZ training completion and ensure compliance with annual vaccine education requirements in collaboration with supervisors.
Attend required state sponsored vaccine trainings and maintain updated knowledge of vaccine guidelines, communicating changes to appropriate staff.
During a public health emergency or pandemic, coordinate all aspects of vaccine tracking, inventory, delivery, storage, handling, transport, documentation, and required reporting.
Partner with the Pharmacy and Clinical Departments to support proper management of clinic-based medications, including ordering, receiving, documentation, storage, and compliance.
Assist with monitoring medication inventory across clinical areas and ensure appropriate stock levels are maintained.
Works with Pharmacy to track medication pricing and optimize ordering for maximum cost efficiency.
Supports medication management for the clinic’s unique dispensary operations, ensuring enhanced oversight, documentation, and compliance for both clinically administered and patient-dispensed medications.
Support medication related audits, quality reviews, and any required corrective action plans.
Ensure medication storage areas meet regulatory standards, including monitoring expiration dates, medication recalls, temperature logs, and documentation requirements.
Participate in workflow improvements involving medication handling, storage, and administration in collaboration with Pharmacy, nursing, and clinical operations leadership.
Reports medication errors, support root cause analysis, and participate in corrective action planning.
Provide direct patient care support as a float Medical Assistant to maintain patient flow and operational continuity during staffing shortages, high volume periods, or special initiatives.
Assist with rooming patients, obtaining vital signs, preparing exam rooms, administering immunizations within scope, and supporting clinical procedures.
Maintain competency in MA duties and follow MNHC protocols for infection control, safety, and clinical quality.
Support clinical teams in ensuring high quality, patient centered care through active participation in daily clinic operations.
Attend and actively participate in monthly Quality Improvement Committee and other meetings as delegated by Supervisor.
