About The Position

The Clinical Trial Navigator (CTN) plays a crucial role in assisting patients by coordinating referral appointments and managing patient records in support of ongoing clinical studies. This position requires effective communication with patients, referral physician offices, and research coordinators while ensuring compliance with HIPAA guidelines. The CTN is responsible for scheduling appointments, maintaining accurate patient information, and addressing any issues related to the healthcare system that may affect patients' access to care.

Requirements

  • Minimum of a Bachelor's degree, preferably in Health Sciences.
  • Knowledge of Phase I oncology clinical research.
  • Proficiency in Microsoft suite applications and Adobe Acrobat Pro.
  • Excellent interpersonal skills for effective communication with research personnel.
  • Knowledge of medical terminology and clinical research guidelines (ICH GCP, FDA, OHRP, OSHA, HIPAA).
  • Excellent organizational skills to manage workflow independently.
  • Ability to prioritize tasks quickly and appropriately with minimal guidance.
  • Ability to multi-task and work independently as well as part of a team.
  • Clear and concise verbal and written communication skills.

Responsibilities

  • Assist patients by coordinating referral appointments and managing patient records.
  • Gather patient records from various sources while adhering to HIPAA guidelines.
  • Communicate with healthcare providers and research personnel regarding the availability of records.
  • Handle medical record requests and ensure compliance with HIPAA guidelines.
  • Serve as a backup to CTNs at other NEXT sites to ensure proper coverage.
  • Ensure medical records received are adequate for clinical trial entry and meet eligibility requirements.
  • Schedule and arrange referral appointments, sending reminders to patients.
  • Maintain ongoing tracking and documentation on referrals to promote team awareness and patient safety.
  • Ensure complete and accurate registration of patient demographic and insurance information.
  • Facilitate timely scheduling of appointments and address referrals appropriately.
  • Assemble information concerning patients' clinical backgrounds and referral needs.
  • Contact organizations and insurance companies to meet prior approval requirements.
  • Assist patients in problem-solving issues related to the healthcare system, including financial or social barriers.
  • Obtain up-to-date insurance information and ensure preauthorization for new patient visits.
  • Attend meetings and briefings regarding clinical studies as required.
