About The Position

The Clinical Support Specialist serves in a pivotal support capacity, responsible for coordinating and administering requests and applications related to Medicaid Waiver programs. This position facilitates referrals and enrollments for agency-operated programs, assesses and prioritizes incoming referrals, addresses departmental inquiries, and performs additional functions that align with the objectives of the Western Reserve Area Agency on Aging (WRAAA) and the ADRC Department.

Requirements

  • A minimum of a high school diploma coupled with at least two years of experience in a fast-paced office setting or 2 year's experience in Medicaid, Medicaid Waiver programs, home care, medical/insurance processing, human services, health care, or a related field is required.
  • Proficiency at an intermediate level in Microsoft Office applications and the capability to efficiently learn and utilize necessary IT and software applications.
  • Fundamental knowledge of chronic illnesses, disease processes, normal aging, and medical terminology.
  • Demonstrated ability to record information accurately and promptly, adhering to established program deadlines.
  • Strong verbal and written communication and interviewing skills.
  • Aptitude for effective collaboration and relationship-building with colleagues and stakeholders.
  • Keen attention to detail, adeptness at prioritizing, multi-tasking, and meeting assignment deadlines in alignment with agency and consumer objectives.
  • Positive attitude and clear commitment to the agency’s mission.
  • Exemplary customer service abilities.

Responsibilities

  • Overseeing and processing requests and applications for Medicaid Waiver programs and Nursing Facility placements including managing Medicaid applications and physicians' orders.
  • Facilitating and completing referrals, authorizations, enrollments, and denials for both WRAAA and Medicaid-administered programs, ensuring efficient triage and prioritization of referrals received.
  • Reviewing statuses and accurately entering data into platforms such as Ohio Benefits Workers Portal, CareDirector, and other designated state and agency information technology systems.
  • Assisting with the scheduling and rescheduling of assessments and interpreters as necessary.
  • Monitoring department or unit-specific email and voicemail accounts and responding to all inquiries within a 24-hour timeframe.
  • Providing coverage and assistance to other Clinical Support Specialists and undertaking additional responsibilities as assigned by supervisory personnel.
  • Supporting supervisors in monitoring and preparing reports including self-reporting as required for productivity tracking.
  • Fulfilling expectations for timely and accurate documentation as stipulated by program standards.
  • Advocating for consumers and caregivers to secure Medicaid eligibility and ensure appropriate service and care settings, collaborating effectively with service providers.
  • Engaging with stakeholders as needed to advance both consumer outcomes and agency goals.
  • Upholding the mission, vision, strategic objectives, and management directives of WRAAA.
  • Maintaining strict confidentiality in accordance with agency policies.
  • Participating actively in training sessions, meetings, and ongoing educational opportunities.
  • Contributing departmental and agency-wide initiatives designed to enhance quality, efficiency, and stakeholder engagement.
  • Exercising the authority and responsibility to propose improvements and fully participate in quality improvement initiatives.
