About the position

The Clinical Support Services Manager is responsible for managing operational aspects of community outreach (including testing and vaccinations) and oversite of the Prescription Refill and Transition of Care Departments. The position is responsible for program operations related to community medical response efforts that support clinical needs and aims to ensure timely services, testing, treatment, and preventative care are delivered, and that accurate records are maintained in order to achieve excellent customer service, quality, cost and delivery performance in line with the CMC Mission, strategic goals and values.

Responsibilities

  • Demonstrates effective communication and problem-solving skills
  • Supports implements and fosters a greater staff understanding of the Mission, and Values of Community Medical Centers
  • Coordinates and manages the operations of the Community Health Testing and Vaccination Program, including schedules for testing and vaccination, reception, testing result and vaccine records, health promotions and clerical clinical functions, to create an efficient patient centered care environment
  • Orders and distributes supplies to the mobile units
  • Maintains line of communication with leadership and care teams, including providing developing information on outbreaks, pandemics and community response needs
  • Communicates effectively with internal and external stakeholders on public health concerns and initiatives
  • Works in collaboration with clinical leadership and program providers in the development, implementation and evaluation of healthcare services
  • Provides leadership and support for the Rx Refill and Transition of Care Departments in terms of clinical oversite, assisting the supervisor with human resources guidance and addressing behavioral issues, meeting support, and problem solving
  • Supports all teams to implement, monitor and assure adherence to CMC standardized best practices
  • Achieves access and profitability objectives
  • Provides direct supervision to clinical support staff in collaboration with the CNO and nursing leadership to ensure quality and staff competencies
  • Integrates the philosophy and principles of Patient Centered Care and communication skills in all operational functions
  • Leads employees to accomplish all job objectives; inspires confidence and motivation; clearly defines expectations, and maintains personal effectiveness under pressure
  • Works collaboratively with the Director of Health Information Technology to ensure maximum utilization of all HIT programs
  • Utilizes data to drive efficiency, quality improvement and staff empowerment
  • In collaboration with CFO and COO develops, monitors and analyzes site budgets and financial information and utilizes all resources in an effective and economical manner
  • Supports a culture of transparency through the development, sharing and on-going updating of site data, dashboards, and reports with site staff
  • Promotes, supports and participates in the development of quality improvement initiatives
  • Conducts audits, works with auditing agencies, and provides feedback to reduce errors and improve processes, quality, and performance
  • Performs employee evaluations and consultations for staff; Completes Paycom timesheets, reviews requests for time off, makes necessary staffing adjustments in accordance to CMC policies
  • Tracks time off requests in order to assist adequate staffing in all sites and communicates with other sites, supervisors, and any other necessary CMC employees regarding absences or schedule changes
  • Participates in the selection, training and supervision of all program staff to ensure patient and staff experience principles drive the hiring, on boarding and training processes
  • Identifies, implements and maintains opportunities to build employee morale and individual motivation; ensures each employee understands their role, the desired result associated with their work and the resources available to achieve these results
  • Works closely with supervisors and other management personnel to ensure adherence to standards, policies, and procedures
  • Oversees the ordering and inventory processes for all site supplies
  • Responsible for maintaining a clean, safe and welcoming facility
  • Attends meetings as designated and other duties as assigned
  • Follows all safety rules while on the job. Reports accidents promptly and corrects minor safety hazards
  • Performs other duties as assigned

Requirements

  • High School Diploma/GED with a minimum of 7 years of health care experience, AA degree or 60 college level units with a minimum of 5 years related experience
  • Bachelor's Degree or current licensure as an RN with a minimum of 3 years related health care experience
  • Ambulatory health care setting experience is preferred
  • Travel to multiple sites is required
  • Knowledge and understanding of customs, beliefs, and needs of consumer group(s) served
  • Ability to work independently with minimum on-site supervision
