About The Position

The Ophthalmic Coordinator at Quincy Medical Group plays an essential role in the efficient operation of the ophthalmology department. This position requires strong organizational and communication skills to coordinate various aspects of patient care, equipment management, staff support, and departmental logistics. You will work closely with providers, staff, and external teams to ensure that all operations run smoothly, contributing to the delivery of high-quality eye care to patients.

Requirements

  • One to two years of post-high school education and AA degree preferred.
  • CPR certification required (available upon hire).
  • Experience in ophthalmology or healthcare coordination preferred.
  • Strong organizational, multitasking, and communication skills.
  • Ability to work independently and manage multiple tasks effectively.
  • Comfortable using healthcare software and equipment.
  • Leadership and mentoring experience in a healthcare setting is preferred.

Responsibilities

  • Coordinate provider and staff schedules, managing time off requests, call-ins, and changes.
  • Maintain the on-call schedule and address scheduling conflicts, issues, or concerns.
  • Organize department meetings, lunch-and-learns, and coordinate provider lunches/dinners with representatives.
  • Manage and coordinate site visits, outreach efforts, and collaborate with other departments and leaders to address operational needs.
  • Serve as the primary point of contact for after-hours communication with employees and providers.
  • Ensure timely communication via email regarding organizational or departmental updates and changes to staff and providers.
  • Monitor and evaluate staffing performance, identifying skill gaps and implementing corrective measures.
  • Conduct annual performance reviews for staff members, enforce department policies, address employee issues or disciplinary actions as needed.
  • Assist with the hiring and onboarding of new employees, including providing training and support to ensure seamless department integration.
  • Ensure patient appointments are rescheduled efficiently.
  • Handle patient concerns, complaints, and issues from referring offices and other departments.
  • Perform rooming and testing procedures, including IVFA injections, ensuring patient comfort and safety.
  • Oversee needs and preventative maintenance for the department equipment.
  • Assist with ensuring that the department adheres to safety protocols and that the staff is properly trained.
  • Coordinate CPR training for staff members and ensure the team is prepared for emergencies.
  • Perform other duties as needed to contribute to clinic operations.
