About The Position

We are looking for an administrative partner to join our team in Baltimore, MD. You will be responsible for providing administrative support to the Clinical Services team including but not limited to receptionist, managing the screening calendar and participant appointments, office equipment, general administrative duties and supplemental support to Clinical Services. You will use your composed persona to support the participants in a friendly manner. You will have the ability to work independently and maintain confidentiality.

Requirements

  • High School Diploma or Equivalent
  • Experience in a fast-paced administrative role
  • Ability to multi-task whilst ensuring the participant's experience is outstanding
  • Comprehensive knowledge of relevant software: Windows, Word, Excel, PowerPoint, Outlook

Responsibilities

  • Assumes ownership of all matters pertaining to Clinical Services, including greeting and assisting participants.
  • Adhere to Good Clinical Practices (GCPs), Pharmaron's SOPs (Standard Operating Procedures) and study protocol requirements.
  • Prepare the daily outpatient schedule and report monthly statistics to accounting department.
  • Assure participant charts are ready for screening and follow up appointments.
  • Assist with participant payments by completing screening checks for CSC, issuing payments to participants and completing paperwork associated with payments.
  • Provide copies of Informed Consent Forms (including VCT consents) to all screening participants; complete necessary documentation for informed consent process.
  • Assure the validation of identification criteria of all potential study participants.
  • Manage our VCT account by setting up study information and updating subjects for screening and admission.
  • Maintain participants' contact information in internal database.
  • Participate in department-specific Quality Control and Quality Assurance activities to ensure a high level of quality is maintained through screening and outpatient documentation.
  • Incorporate new technologies into outpatient processes and screening flow as needed.
  • Update study-specific screening logs.
  • Update Recruitment Database with subject information as necessary.
