ESSENTIAL JOB FUNCTIONS: Must be able to assess resident’s needs, both visually and verbally. Promote good public relations among families, visitors, residents, and staff. Must be able to effectively communicate with the resident. Must be able to meet the needs of the residents. Answer phones, transfer calls, and take messages for administrative/nursing staff Refer complaints to appropriate staff or Management Team Ensure all volunteers, families, vendors, and visitors sign/out in the logbook Ensure resident or responsible party registers in the “Resident Sign In/Out” book when a resident leaves from or returns to SHC Monitor resident call-bell system and dispatch appropriate staff to assist resident, maintain call response log. Follow through to assure residents receive services as requested Each shift preform door alarm checks to insure door are locked and alarms are sounding Monitor alarms, entrances/exits, and visual monitor for elopement risk residents Write maintenance/housekeeping/IT work orders as specifically as possible; designate appropriate department for action; and follow-up within a reasonable amount of time to ensure that requests have been acted upon in an efficient manner Assist with hospital transportation/pickups when necessary Assist Wellness Department with set up for movie nights in the auditorium. Keep lobby area neat and clutter free Distribute newspapers to residents by the News and Observer list and notify the carrier when papers are missing Delivery packages to appropriate department and/or resident’s room Assist medical records department with paper chart audits, filing, scanning, and attaching records in EMR. Prepare paperwork for residents outside appointments Process admissions, discharges, deaths, and room/bed changes in EMR per procedure as outlined in the clinical secretary procedure notebook. Uptain signature upon admission for pharmacy financial responsibility agreement. File admission paperwork with advanced directives in code status binders. Use paging system (minimally) to announce activities, emergency lights, summon nursing staff including CNAs to assist residents, various codes i.e. Red, blue, green, and yellow. Document insect sightings in the “Insect Sighting Report Book”. Responsible for being familiar with and following Springmoor established policy and procedure, task lists, and guidelines. Responsible for reading, understanding, and following the Springmoor Inclement Weather Plan and Fire Safety Plan. Perform other duties as assigned by the Healthcare Service Manager. Clinical Secretaries will be evaluated upon completing 90 days and on annual review (anniversary date of hire) by the Medical Records Coordinator based on compliance with Springmoor rules and regulations and performance of responsibilities. Compensation begins at $14.00 per hour, with additional pay commensurate with experience. Holiday Pay Part-Time: Employees who work on a recognized holiday are paid at 1.5 times their regular rate.
