About The Position

The Clinical Scheduling Coordinator is responsible for ensuring that each care area within the community is appropriately staffed to meet resident care needs and maintain compliance with Senior Star’s staffing standards. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively with leadership to balance associate satisfaction and operational needs. The Clinical Scheduling Coordinator manages schedules using Dayforce Scheduling, and provides administrative support to the Health Services team.

Requirements

  • Active Med Tech License
  • Strong organizational and time management skills with the ability to multitask and adapt to changing priorities.
  • Proficiency in Microsoft Office and scheduling software (Dayforce preferred)
  • Excellent interpersonal and communication skills, both verbal and written.
  • Ability to maintain confidentiality and demonstrate discretion when handling associate or resident information.

Responsibilities

  • Develop and maintain daily, weekly, and monthly schedules to ensure adequate staffing levels for all shifts in compliance with state regulations and Senior Star ratios.
  • Coordinate call-offs, shift replacements, and schedule changes promptly, maintaining open communication with department supervisors.
  • Collaborate with the Health Services Director and other department leaders to monitor overtime, agency utilization, and staffing trends.
  • Maintain accurate associate records related to attendance, availability, time-off requests, and shift exchanges.
  • Coordinate with clinical directors for attendance discipline tracking.
  • Ensure all shift exchanges are approved by the direct supervisor prior to processing.
  • Communicate regularly with associates about scheduling updates, open shifts, and community needs in a professional and supportive manner.
  • Track and report on open positions, weekly to the Associate Experience Team.
  • Assist in training new associates on scheduling systems, attendance expectations, and call-in procedures.
  • Provide flexible support to the care team by filling in on an as-needed basis as a care partner to ensure continuous, high-quality resident care.
  • Participate in the on-call rotation to manage and address scheduling needs outside of regular business hours.
  • Perform other duties as assigned to support smooth operations within the Health Services department.
