Alcanza is a growing multi-site, multi-phase clinical research company with a network of locations in AL, AZ, FL, GA, IL, MA, MI, MO, NV, SC, TX, VA, and Puerto Rico. We have established a strong presence across Phase I-IV studies and several therapeutic areas including vaccine, neurology, dermatology, psychiatry, and general medicine. Join us as we continue to grow. The Supervisor, Patient Recruitment is responsible for overseeing centralized patient recruitment operations across multiple clinical research sites. This position provides direct leadership and support to Central Recruiters engaged in phone‑based patient outreach, screening, and scheduling, ensuring recruitment activities are accurate, compliant, patient‑centered, and aligned with protocol, site, and sponsor requirements. The Supervisor serves as the primary operational escalation point for Central Recruiters and works closely with site teams and Patient Recruitment leadership to drive high‑quality recruitment execution and continuous improvement.

Requirements

  • An Associate’s degree AND a minimum of 2 years’ experience in a medical environment, customer service, call center or a similar field, or an equivalent combination of education and experience is required.
  • Proficiency with computer applications such as Microsoft applications, email, electronic health records, web applications, and the ability to type proficiently (40+ wpm);
  • Performing basic clinical procedures such as blood pressure, vitals, EKGs, phlebotomy, etc.
  • Strong organizational skills and attention to detail.
  • Well-developed written and verbal communication skills.
  • Well-developed interpersonal and listening skills and the ability to work well independently as well as with co-workers, subjects, managers and external customers.
  • Ability to effectively handle multiple tasks, and adapt to changes in workloads and priorities.
  • Must be professional, respectful of others, self-motivated, and have a strong work ethic.
  • Must possess a high degree of integrity and dependability.
  • Ability to work under minimal supervision, identify problems and implement solutions.
  • Ability to handle highly sensitive information in a confidential and professional manner, and in compliance with HIPAA guidelines.

Nice To Haves

  • An MA, CNA, LPN/LVN, EMT or other medical license is preferred.
  • Experience with calendar management /scheduling and CRM experience is highly preferred.
  • Bi-lingual (English / Spanish) proficiency is a plus.

Responsibilities

  • Supervise, coach, and support Central Recruiters responsible for phone screening and scheduling of prospective research participants
  • Serve as the primary escalation point for recruiter questions, screening challenges, quality concerns, and workflow barriers
  • Monitor recruiter performance metrics, including call activity, screenings, enrollments, and disqualifications
  • Conduct call audits and provide coaching, retraining, or corrective action as needed
  • Oversee people management activities for assigned team, including participation with interviewing
  • Assist with onboarding, training, and ongoing development of Central Recruiters
  • Manage study specific call lists, including creation, assignment, prioritization, and cleanup
  • Ensure accurate and timely documentation of patient interactions, screening outcomes, and eligibility determinations
  • Guide recruiters on study prioritization based on enrollment goals and operational needs
  • Identify workflow inefficiencies and escalate systemic issues impacting recruitment performance
  • Ensure adherence to approved recruitment scripts, booking rules, SOPs, and protocol requirements
  • Monitor trends related to DNQs, scheduling errors, and documentation gaps
  • Ensure disqualification reasons are clearly documented to support site follow-up and reporting
  • Escalate recurring quality or compliance issues to Patient Recruitment leadership with recommended solutions
  • Partner with site teams to clarify eligibility criteria, scheduling constraints, and protocol nuances
  • Support the development and maintenance of study specific booking rules and recruiter reference materials
  • Communicate site feedback, operational updates, and study changes to Central Recruiters
  • Support pilot initiatives and process improvements designed to enhance recruitment quality and efficiency
  • Oversee Central Recruiter use of CTMS and CRM platforms, telephony systems, and shared documentation tools
  • Coordinate with leadership, IT, and operations teams on system access, configuration, and issue resolution
  • Ensure recruiters are trained and compliant with required systems and workflows
  • Handle and document internal and external complaints related to recruitment activities
  • Ensure patient interactions are conducted in a professional, empathetic, and patient centered manner
  • Support resolution of site concerns related to central recruitment performance or communication
  • Completing performance appraisals, engaging with employee counseling & career coaching. Proactively identify and resolve issues, and work to ensure successful team operations.
  • Manage and communicate enrollment goals and timelines as aligned with business needs.
  • Collaborate with internal and external stakeholders to review and optimize recruitment performance to meet organizational goals.
  • Communicate and liaise with clients and all stakeholders (internal & external) in a timely and professional manner.
  • Participating and presenting in management, team, client, site or other meetings.
  • Performing other related duties as assigned.
