Coordinates the preparation and submission of required monthly data reports, quarterly staff training logs, and quarterly community training logs to ensure compliance with contract requirements. Reviews community therapist monthly workbooks and billing for completeness and accuracy. Submits approved documentation to the Finance group for VOCA invoicing, ensuring adherence to reporting and fiscal deadlines. Serves as the Records Coordinator for the program, ensuring the secure maintenance and retrieval of client records in accordance with program and regulatory standards. Manages the client wait list, providing regular updates to Senior Program Coordinators and program staff. Monitors adherence to wait list procedures and assists in refining tracking systems. Supports Senior Program Coordinators during annual Department of Health monitoring visits by preparing documentation and compiling reports for contract renewals. Acts as the Community Liaison for the program, cultivating relationships with community organizations, service providers, and clients. Coordinates participation in outreach events and community training opportunities. Represents the program at meetings and events to increase awareness of available services and to promote education on sexual assault topics and related resources. Coordinates client care activities to ensure timely and effective service delivery. Receives and processes referrals, verifies client information, and establishes client records in the EMR system. Schedules appointments and maintains the client services calendar in collaboration with internal and external providers. Ensures that intake and documentation procedures follow established policies. Assists Senior Program Coordinators in onboarding new community and UF therapists. Coordinates training schedules, access to systems, and orientation materials. Supports collaboration between therapists and staff to ensure smooth client care coordination and service continuity. Organizes and facilitates regular team and community therapist meetings. Prepares agendas, compiles materials, coordinates logistics (in-person or virtual), takes meeting notes, and distributes summaries and follow-up items to participants. Serves as the EMR system point of contact for the program. Provides guidance and training to staff on documentation practices, reporting functions, and system updates. Assists with troubleshooting and ensuring compliance with data entry and confidentiality standards.
