About The Position

The Bascom Palmer Eye Institute is currently seeking a full time Clinical Program Coordinator to work in Miami. The Clinical Program Coordinator assists in the development, organization, production and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Provides general oversight over daily program operations in support of the University's mission, including the direct supervision of volunteers. Monitors the financial performance of programs to meet departmental goals, and assists with short- and long-range budgetary planning. • Evaluates program effectiveness; analyzes results and recommends and/or takes appropriate action; coordinates program activities with other program, department or staff activities, ensuring optimum efficiency and compliance with appropriate policies, procedures, specifications and funding limitations. • Trains, develops and empowers staff to effectively perform their jobs; confers with and advises staff, students and others, providing technical advice, problem solving assistance, answers to questions and program goals and policy interpretations. • Acts as a main point of contact for project funders, advisors, speakers and participants; recruits program participants, members and volunteers. • Develops cooperative/therapeutic relationships with patients and families representing a variety of populations, projecting a positive and cooperative image; creates a calm, professional atmosphere that promotes productivity and a positive image. • Develops program communications and promotional literature for distribution including newsletters, brochures and flyers, coordinating the process from development through printing and distribution. • Prepares periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies. • Maintains patient confidentiality as well as the confidentiality of hospital business information. • Accountable for maintenance of established supply levels, including but not limited to unit and supply rooms.

Requirements

  • Bachelors degree in relevant field required
  • Minimum 2 years of relevant experience required

Responsibilities

  • Evaluates program effectiveness, analyzes results, and recommends appropriate action.
  • Coordinates clinical program activities with other departments and staff to ensure optimal efficiency.
  • Serves as a main point of contact to facilitate communication between stakeholders.
  • Develops collaborative partnerships across teams and/or patients to streamline processes and enhance departmental productivity.
  • Trains, develops, and empowers staff to effectively perform their jobs.
  • Develops program/departmental communications and may involve promotional materials for distribution.
  • Prepares reports which may include financial statements, and records for management or outside agencies.
  • Ensures confidentiality of patient and hospital business information.
  • Coordinates the maintenance of established supply levels in designated areas, as needed.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Interacts with patients in person, over the phone, and email correspondence in a professional and timely manner including prompt and effective answering of phone calls, online inquiries, and email communication with the ability to answer all relevant questions clearly and concisely
  • Greets, welcomes, and assists all patients using exemplary customer service
  • Accompany and guide all evaluation, surgical and follow up patients as they move throughout the hospital
  • Able to speak knowledgably regarding vision issues such as nearsightedness, farsightedness, and presbyopia while educating patients on vision correction options
  • Assist Physicians by providing counseling and education to patients for cataract and refractive procedures and scheduling procedures such as crosslinking, biopsies, corneal scrapings, Intraocular contact lenses, cataract and premium cataracts, and refractive procedures such as LASIK and PRK
  • Provide information regarding procedural risks and benefits, while managing patient expectations, financial costs, payment options
  • Delivering on the best possible customer service during and after patient procedures including but not limited to thank you calls to scheduled patients, follow up calls post-surgery, and written thank you cards
  • Responsible for patient retention including recapture calls to non-booked patients
  • Complete all pre-surgical administrative tasks such as ensuring prescriptions are signed, proper consents are pulled and labeled, and surgical packets are made
  • Handle and collect all payments prior to procedures
  • Collaborates regularly with other departments to ensure the highest level of patient care and experience including but not limited to:
  • Maintain appropriate inventory of clerical supplies
  • Ensure the general order and appearance of the center and surrounding areas
