About The Position

We are seeking a Clinic/Practice Assistant Lead to join our Primary Care office in Rowley. This position is onsite Monday through Friday, working 8-hour shifts between 8:00 AM and 5:00 PM. The Clinic/Practice Assistant Lead will serve as a key operational partner and leader within our Primary Care office. This individual will oversee and support a team of 13 front desk staff through indirect leadership, helping to build a cohesive, collaborative team while maintaining high standards of work and smooth daily operations. The Lead will partner closely with leadership and clinical staff to improve workflows, ensure consistent coverage and cross-training, manage scheduling and timecard oversight, and lead team meetings, huddles, and staff development initiatives. This role requires a proactive leader and change agent with strong collaboration skills and ideally 3+ years of leadership experience.

Requirements

  • High School Diploma or Equivalent preferred
  • 5-7 years office experience required
  • Strong understanding of all Office Suite.
  • Strong communication and organizational skills.
  • Strong and proven leadership skills.
  • Ability to work with staff of all levels.
  • Excellent time management skills.
  • Generally Accepted Accounting Principles.
  • Ability to adapt to multiple and rapidly changing priorities and deadlines.

Responsibilities

  • Performs assigning and prioritizing workflow, troubleshooting issues, training and orientation, providing back up support for leadership.
  • Acts as "Super User" for scheduling, registration and billing systems.
  • Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • May function as a backup for clerical staff to perform routine administrative and clerical duties relating to a clinical service or physician practice office, and make patient appointments and maintain appointment records.
  • May process patient billing forms and scan documents to patient medical record/LMR.
  • Call for patient medical records and laboratory test results.
  • Open and distribute unit mail or faxes.
  • Type forms, records, schedules, memos, etc., as directed.
  • Provides functional guidance to related team.
  • Assists Supervisor with daily activities of practice staff.
