About The Position

The Clinical Placement Specialist is responsible for arranging, coordinating, and managing clinical, fieldwork, and internship experiences across all Health Science programs, including but not limited to: Dental Assisting, Medical Assisting, Paramedic, Medical Laboratory Technology, Phlebotomy, Surgical Technology, Respiratory Therapy, and Nursing. This work is conducted in collaboration with program directors and faculty, ensuring placements meet educational and accreditation requirements while fostering strong partnerships with healthcare facilities across Minnesota.

Requirements

  • One year of experience in healthcare, education, human services, or related field. A Bachelor's degree may substitute for 12 months of experience and Associate's degree may substitute for 6 months of experience.
  • Demonstrated ability to build partnerships and communicate effectively with diverse stakeholders
  • Strong Organizational skills with experience in database or tracking systems
  • Valid MN driver's license and ability to travel to clinical sites

Responsibilities

  • Clinical & Internship Site Coordination
  • Identify, negotiate, and secure clinical, fieldwork, and internship placements that meet accreditation and curricular needs.
  • Serve as the primary liaison between the college and healthcare partners, including acute care, long-term care, clinics, laboratories, public health agencies, and EMS providers.
  • Establish and maintain strong relationships with site representatives to ensure long-term, sustainable partnerships.
  • Prepare, update, and manage contracts with multiple healthcare organizations in collaboration with system/legal offices.
  • Monitor site availability, eligibility requirements, and timelines across multiple programs.
  • Student Placement Processes
  • Coordinate placement requests through systems such as Clinician Nexus or program-specific portals.
  • Develop and maintain a centralized database of clinical/internship sites, including site requirements, preceptor qualifications, and student placement history.
  • Collaborate with program directors and faculty to match students with appropriate placements based on course requirements and site capacity.
  • Communicate placement details (dates, orientation, expectations, site rules, etc.) clearly to faculty and students.
  • Support onboarding processes, ensuring compliance with site-specific requirements such as background studies, health and safety checks, confidentiality, and EMR training.
  • Compliance & Eligibility Tracking
  • Oversee documentation of student eligibility requirements across programs, including immunizations, background checks, CPR, licensure/certifications, and other program-specific criteria.
  • Ensure compliance with institutional, state, accrediting body, and site requirements prior to placement.
  • Provide clear communication to students and faculty regarding compliance status and deadlines.
  • Coordinate resolution when students fall out of compliance, ensuring timely re-establishment of eligibility.
  • Additional Duties
  • Provide data, reports, and feedback for accreditation, site visits, and program review.
  • Assist with evaluation of site quality through faculty, student, and partner feedback.
  • Participate in advisory board meetings, clinical agency meetings, and community/industry partnership events as needed.
  • Perform other duties as assigned to support clinical and internship coordination across Health Sciences.
