About The Position

The Clinical Operations Coordinator, Athletic Trainer Certified (ATC) reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards. The Clinical Operations Coordinator, ATC is responsible for supervising the daily clinical operations of the practice sites, supervising clinical support staff, coordinating clinical staff and physician schedules, and performing service recovery as necessary. The Operations Coordinator is the clinical lead and subject matter expert at the local level to ensure staff knowledge, competence and processes align with evidence based high quality patient care. Under the clinical direction of the Director, Clinical Practice Administrator and Clinical Operations Coordinator, RN. The Operations Coordinator participates in the planning, leading and organizing of activities relating to quality patient care in the practice. Direct clinical patient care would be provided up to twenty percent of the time in this role. The ATC Clinical Operations Coordinator may oversee multiple sites or departments within Northwestern Medicine’s Regional Medical Group (RMG).

Requirements

  • Athletic Training Licensure through State of Illinois (IDFPR) Illinois Department of Financial & Professional Regulations
  • Graduate from a CAATE (Commission on Accreditation of Athletic Training Education) accredited athletic training education program
  • Board of Certification (BOC) for the Athletic Trainer Certification
  • Minimum of five (5) years of ambulatory experience
  • Basic Life Support Certification from an American Heart Association accredited source
  • Effective communication and interpersonal Skills
  • Supervisory experience

Nice To Haves

  • Solid understanding of patient flow in a medical office
  • Working knowledge of EMR, Word and Excel

Responsibilities

  • Responsible for providing 20% direct patient facing support in the orthopedic clinics, and 80% coordinator duties, education, orientation, develop protocols, clinical efficiencies, compliance and workflow processes.
  • Apply and perform cast removals, apply and remove splints, proficient in venipuncture for PRP administration. Remove sutures, staples. Apply and remove surgical dressings.
  • Will perform the rooming process of orthopedic patients, vital signs, health history, medication reconciliation, assist physicians will daily clinical responsibilities within the ATC scope of practice.
  • Supervise and direct the office’s ATC, Certified Medical Assistants (CMA), and Clinical Assistants (CA) staff, manages workload distribution and prioritization of task.
  • Participate in interviewing, hiring, training, progressive discipline, dismissals, and performance appraisals,
  • Oversee and direct day to day office clinical operations within budget guidelines.
  • Assist with managing providers schedule templates and optimize patient care hours to enhance productivity.
  • Schedule staff and allocate resources across hours of operation to maximize patient access and satisfaction, productivity and efficiency, and staff productivity.
  • Responsible for front-line communication with staff to receive and provide feedback regarding clinical workflow, quality and productivity.
  • Assist with staff development, orientation, in-service education and ATC, CMA and CA competency.
  • Manage medical surgical supplies within budget.
  • Ensure accuracy of all data collection and data entry by site staff through training and compliance monitoring and facilitate and oversee flow of information to and from central administrative offices.
  • Attend and actively participate in leadership meetings.
  • Ensure that patient dignity and confidentiality are maintained at all times.
  • Review and approve automated time reports for accuracy.
  • Coordinates staffing schedule.
  • Develop tools to support staff and enhance efficiency within the clinic.
  • Provide input into staff performance reviews. May participate with manager in conducting staff performance reviews. Provide one on one coaching and mentoring as needed.
  • Monitor daily transaction activity to ensure compliance with procedure and NM policies.
  • Implement and maintain new policies and procedures created by RMG or department leadership.
  • Plan, execute and resolve all routine technical needs of the practice (phone, copier, fax machines, PCs, Etc.)
  • Assist in resolution of complex or critical situations involving patients, staff and customers: consults with manager for guidance as needed.
  • Schedule staff and allocate resources across hours of operation to maximize patient access and satisfaction, staff productivity, cost-savings, and operational efficiencies.
  • Implement new policies and procedures created by RMG or department leadership.
  • Assist with quarterly staffing meetings,
  • Complete other duties as assigned.
