About The Position

Apex Skin is a physician-led and rapidly growing dermatology practice committed to delivering exceptional patient experiences. We are seeking an experienced and motivated Clinical Manager for our Ashtabula office. The Clinical Manager serves as a vital leader within the dermatology practice, overseeing the day-to-day operations to ensure efficiency, regulatory compliance, and exceptional patient care. This role directs all administrative and clinical functions, upholds policies and procedures, and leads staff to foster a collaborative and high-performing environment. The Clinical Manager is responsible for ensuring timely, compassionate, and high-quality service for patients, providers, clients, and team members, while maintaining full compliance with healthcare regulations and optimizing overall practice performance.

Requirements

  • 2+ years of clinical experience required; at least 1 year in dermatology preferred. Prior medical office management or healthcare leadership experience strongly preferred.
  • Demonstrated ability to lead, coach, and motivate teams in a fast-paced, patient-facing environment.
  • Strong verbal and written communication skills, with the ability to provide clear direction and manage diverse patient interactions professionally and empathetically.
  • Proven problem-solving skills with the ability to make sound decisions quickly and effectively.
  • Working knowledge of the healthcare revenue cycle, insurance terminology, and regulatory requirements.
  • Proficiency with EHR systems, Microsoft Office (including Excel), and reporting platforms.
  • Ability to analyze data, identify trends, and drive operational improvements.
  • Strong organizational skills with the ability to manage multiple priorities while maintaining a patient-centered approach.
  • High school diploma or equivalent required; Bachelor’s degree in Healthcare Administration, Business Management, or related field, or clinical certification (e.g., LPN, CMA) preferred.

Responsibilities

  • Serve as the primary clinical liaison between Providers, clinical staff, and the Regional Manager.
  • Lead all aspects of staff management, including hiring, training, scheduling, payroll approval, performance evaluations, coaching, and employee relations.
  • Oversee onboarding and ongoing training for Medical Assistants (MAs) and Medical Receptionists (MRs), ensuring competency, documentation completion, and regular progress follow-ups.
  • Supervise daily clinical and front-office workflows to ensure efficient operations, exceptional patient satisfaction, and optimal patient flow.
  • Maintain regulatory compliance (OSHA, HIPAA, MIPS), conduct chart audits, monitor compliance logs, and ensure timely completion of all clinical documentation.
  • Manage provider schedules, support smart scheduling optimization, and collaborate with call center leadership on triage processes and scheduling guidelines.
  • Monitor key performance metrics, analyze data trends, and report insights to leadership.
  • Oversee medical supply inventory and ordering to maintain operational readiness.
  • Foster a positive, productive work environment and lead daily team huddles to align clinical and administrative teams.
  • Provide hands-on operational support as needed and oversee office operations in the absence of the Regional Manager.
  • Partner cross-functionally to streamline workflows, support coordinated patient care, and assist with marketing and outreach initiatives.
  • Perform additional duties as assigned; occasional travel may be required.
