About The Position

This role is an exciting opportunity for someone who enjoys building strong relationships and representing a program with professionalism and warmth. The Clinical Coordinator will be the primary connection point between the program and its clinical partners, helping sustain and grow the network of preceptors and clinical sites that makes the clinical phase of the curriculum possible. The person in this role will engage regularly with health systems, community partners, faculty, and students, and will play a direct part in shaping the student experience by ensuring that clinical rotations run smoothly and that sites feel supported and valued. Day to day, the Clinical Coordinator will manage the scheduling systems that support clinical placements, assist in the transition to Exxat as a new system, and help ensure that data and documentation remain accurate and ready for review. The role also supports program committees focused on assessment and compliance. This position is a great fit for someone who enjoys problem-solving, customer service, and working with both people and systems.

Requirements

  • Bachelor’s in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, women and gender studies, psychology, computer science, information systems, business, health sciences, physical sciences, public administration, business administration, higher education, counseling, hospitality, human services, and student affairs.
  • Two (2) years of experience in customer service, relationship management, academic program support, operations, data management, or a related professional role.
  • One (1) year of experience using databases, spreadsheets, or workflow management tools.
  • Applicants must meet minimum qualifications at the time of hire.
  • Must be willing and able to pass national criminal and sex offender background checks.

Nice To Haves

  • Experience in customer relationship management, sales support, account management, or community engagement.
  • Expertise with data analytics, data visualization, or CRM style tools.
  • Experience with scheduling systems, workflow technology, or operational coordination in a fast-paced setting.
  • Experience with Exxat, Typhon, or similar clinical scheduling systems.
  • Three (3) years of high-level experience in academic, student, or education program support, data-focused, or other relevant professional experience.

Responsibilities

  • Build and maintain strong working relationships with clinical sites, preceptors, and health system partners through regular communication and positive engagement.
  • Serve as the primary point of contact for external partners and students regarding clinical rotation placements and related questions.
  • Manage the clinical rotation scheduling process, incorporating student needs, preceptor availability, program requirements, and site capacity.
  • Operate and maintain the scheduling systems that support clinical placements, including assisting with the transition to Exxat.
  • Enter, update, and audit clinical placement data to ensure accuracy for internal use, reporting, and accreditation needs.
  • Identify scheduling issues or gaps in site coverage and propose solutions to leadership.
  • Provide administrative and data support for the program assessment and compliance committees.
