About The Position

Reporting directly to the Dean/Program Director, Physical Therapy (PT), the Clinical Coordinator provides administrative support services to the Dean/Program Director and Directors of Clinical Education, DPT, by identifying clinical placements, assisting in clinical site acquisition, and following students through the processing of sites. The Clinical Coordinator ensures a seamless operation in an effort to allow the department to fulfill its goals; work directly with the Directors of Clinical Education and Program Director, DPT Program to prepare for and maintain compliance with accrediting bodies and clinical sites. Prepares meeting agendas, memos, and correspondence; completes a variety of non-routine assignments. Serves as a liaison between the Dean/Program Director and Directors of Clinical Education and other members of the University, clinical sites, and other organizations as appropriate.

Requirements

  • Valid driver’s license for State of residence and at least minimum liability insurance required by State
  • Bachelor's Degree Required
  • Three to five years of experience performing complex and responsible office and administrative/secretarial duties, preferably including some administrative support work for one or more managers in an academic, business or medical office environment.
  • Proficient command of grammar, punctuation, spelling, and correct usage of the English language.
  • Comprehensive knowledge of office systems, practices, and administration.
  • Proficient skills and experience in Microsoft Office computer software systems that includes word processing, spreadsheets, and presentation software.
  • Proficient reception and telephone communication skills and techniques.
  • Evidence of principles and practices of classifying, indexing, processing, retrieving, and controlling a large volume of records.
  • Evidence of record keeping, account maintenance, and purchasing practices and procedures.

Responsibilities

  • Coordinates the day-to-day operations of the Supervised Clinical Practice Experiences for the Doctor of Physical Therapy Program Students; providing administrative clerical support and assists in the quality control management of clinical education.
  • Supports the DPT Program in developing and sustaining all clinical relationships and placements.
  • Assists with the maintenance and distribution of manuals, syllabi, and correspondence to students and clinical sites.
  • Communicates effectively (via email, telephone, Teams/Zoom, or face-to-face) with preceptors to coordinate and manage Clinical Placement schedules, evaluation completion, student attendance, and any other student-related inquiries; and assist, where possible, with the resolution of issues that may arise.
  • Maintains appropriate affiliation agreements, business associate addendums, and other documents related to all Program clinical placement practice sites.
  • Coordinates the acquisition of preceptor license and board certification documentation for site and preceptor requirements.
  • Coordinates the distribution of required Certificates of Liability insurance, including general and professional liability and student accident policy, which cover students during their clinical training.
  • Coordinates the maintenance of student onboarding records for distribution when required by clinical sites.
  • Manages the DPT EXXAT Clinical Database system; acts as a liaison between the WCU IT department and the clinical management system utilized within the Program, when required, assists in the resolution of hardware and software issues that may arise.
  • Develops and disseminates student clinical assignments, student evaluation reports, and clinical sites evaluation reports.
  • Compiles and disseminates statistical performance reports for the Directors of Clinical Education and the Program Director.
  • Coordinates the scheduling of clinical year students during their clinical placement, and resolves any scheduling conflicts with students, preceptors, and clinical sites.
  • In collaboration with the Directors of Clinical Education, reassigns students in cases when clinical placement are canceled by the Clinical Coordinator of Education at the site.
  • Communicates effectively (via email, telephone, face to face) with students to assist with scheduling, conflicts, attendance, absences, and any other student related issues pertaining to clinical placement.
  • Maintains appropriate files and documentation on students, clinical instructors, and clinical practice sites.
  • Manages student academic performance evaluations.
