About The Position

The Department of Neurological Surgery is currently seeking a Full-Time Clinical Business Operations Representative 3 to work hybrid in Miami. JOB CORE RESPONSIBILITIES Assists the department in managing expectations surrounding pre- and post-patient care. Answers multiple telephones for the department: triages incoming calls, responds to questions, directs calls, and documents messages in the appropriate software. Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs. Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice. Provides coverage for responsibilities of co-workers when assigned or as need arises. Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis. Maintains confidentiality of all information. Adheres to University and unit-level policies and procedures and safeguards University assets. Obtains or reviews all patient demographic information, insurance information, and referral numbers. Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information. Requirements

  • High school diploma or equivalent
  • Minimum 2 years of relevant experience
  • Skill in data entry with minimal errors.
  • Ability to communicate effectively in both oral and written form.
  • Ability to work evenings, nights, and weekends as necessary.
  • Skill in collecting, organizing, and analyzing data.
  • Ability to work independently and/or in a collaborative environment.

Responsibilities

  • Assists the department in managing expectations surrounding pre- and post-patient care.
  • Answers multiple telephones for the department: triages incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.
  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.
  • Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
  • Provides coverage for responsibilities of co-workers when assigned or as need arises.
  • Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.
  • Maintains confidentiality of all information.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Obtains or reviews all patient demographic information, insurance information, and referral numbers.
  • Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information.
  • Explains HIPPA to patients and obtains signatures.
  • Submits signed consents to healthcare centers to initiate retrieval of medical records, pathology slides, x-rays, and other pertinent reports.
  • Tracks pending records to ensure delivery prior to clinic visits.
  • Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records.
  • Travels within the facility and campus to retrieve records, films, or CDs.
  • Prepares pathology slides and submits for consultation.
  • Returns slides to appropriate institution or patient.
  • Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.
  • Assembles, completes, and processes patients’ charts.
  • Assists with ordering, receiving, distributing, sorting, and storing supplies.
  • Reports suspicious or unusual incidents to appropriate supervisory personnel.
  • Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Manage a large Call volume daily 50+ calls.
  • Other duties as assigned.
  • Complete FMLA and medical leave paperwork, including any other patient-related clinical forms needed with support of clinical team
  • Process and send orders to patient for services to be completed at outside facilities function as a lead for CBOR team and Manager
