About The Position

The Clinical Assistant - Primary Care Scheduler provides assistance to patients in-person and over the telephone to ensure high quality patient care and scheduling services. This role involves greeting and acknowledging patients immediately, screening and updating established patient demographic information for accuracy, and establishing new accounts as needed. The Clinical Assistant works closely with the entire primary care team to ensure the schedule meets standards set for providers and nursing staff. Responsibilities include maintaining professional telephone etiquette, determining next available appointments, rescheduling existing appointments, logging patient messages, and supporting quality improvement processes in primary care. Additional office duties may include faxing, filing, copying, and covering other staff breaks and lunches.

Requirements

  • High School Diploma or equivalent.
  • 1-3 years of customer service, reception, or business experience.
  • Good decision-making, communication, and organizational skills.
  • Ability to perform multiple tasks independently in a busy, ever-changing environment.
  • Basic computer skills: Microsoft Word, Excel, Outlook.
  • Familiarity with Patient Information Database (Cerner).

Nice To Haves

  • Post-secondary education in a related field.
  • Knowledge of medical terminology.
  • Previous scheduling experience in a clinic setting.

Responsibilities

  • Maintain professional telephone etiquette when scheduling appointments for both incoming telephone calls and patients in person.
  • Determine next available appointment based on availability of providers and reschedule existing appointments based on provider changes or patient cancellations.
  • Complete work queues in scheduling system for primary care.
  • Receive and log patient messages into Power Chart office for nursing staff in a timely manner.
  • Collect all necessary information from patients to ensure triaging staff receive accurate information.
  • Return calls to patients based on return messages from nursing staff.
  • Participate in daily assessment of work to support Primary Care CSI quality improvement work and processes.
  • Perform other office staff duties as needed, including faxing, filing, copying, and covering other staff breaks and lunches.
