About The Position

The Clinical Administrative Associate position at the Children's Hospital of Philadelphia (CHOP) is a vital role focused on enhancing communication between patients, caregivers, and clinical staff. This position is designed to improve the overall experience for patients and team members at the King of Prussia Hospital (KOPH). The associate will assist the supervisor and/or manager with daily departmental operations, ensuring optimal customer service is delivered. The role encompasses various responsibilities, including greeting patients, performing receptionist duties, and handling administrative tasks within the KOP location. In this role, the Clinical Administrative Associate will be responsible for answering telephones, screening calls, routing callers, taking messages, and providing routine information to callers while adhering to HIPAA regulations. They will perform clerical procedures related to patient admissions, transfers, discharges, and deaths within the CHOP enterprise. The associate will act as a liaison and problem solver for departmental customers, ensuring that unit-based service needs are met. Additionally, they will review census and staffing assignments with local unit leadership and print/post assignment sheets for each shift. The position requires collaboration with the PARC team to ensure that admission paperwork and insurance information are obtained from families upon admission. The associate will engage in data-entry procedures for staff scheduling, patient assignments, and timekeeping as directed by local leadership. Familiarity with various operational systems, including Kronos, Optilink, Archibus, Qliksense, and Epic, is essential. The role also involves maintaining patient records, monitoring inventory of office supplies, and ensuring that the highest levels of hospitality are maintained for patients and families. The Clinical Administrative Associate will also engage in rounding on patients and families to collect real-time feedback regarding their hospital experiences, thereby contributing to the continuous improvement of services provided.
