About The Position

The Clinical Administrative Assistant works as part of a team of support professionals to provide an excellent client, visitor, and overall workplace experience at Everstand. Supported by the Clinical Supervisor, this role’s primary focus is to support positions located at Everstand’s Pasadena Outpatient Mental Health Clinic (OMHC) and Regional Navigator Program (RNP). This individual not only assists in ensuring that daily operations of Pasadena’s campus run smoothly, but is responsible for several key workflows, such as purchasing, being a direct line of communication from both internal and external parties, maintaining client files properly in both their physical and electronic formats, and developing systems that allow the clinic to improve. This position is also responsible for critical data entry and recordkeeping, must be able to focus amidst interruptions, and must be able to prioritize multiple projects and deadlines.

Requirements

  • High School graduate with minimum of 4 years office experience. OR A Bachelor’s degree and 2 years’ experience in the field.

  • Take meeting minutes, code to-dos into Everstand’s project management or electronic health record software systems, and support leadership with excellent follow-through on tasks delegated or assigned to others within their respective teams.
  • Answer telephones and direct calls or take messages.
  • Collect information from and schedule potential new clients.
  • Conduct insurance verification, obtain authorizations for service, verify client billing and respond to billing inquiries.
  • Greet and assist all clients and visitors in a professional, courteous, trauma-informed, and culturally responsive manner, and ensure that relevant privacy and confidentiality standards are followed.
  • Check clients in, inform clinicians of clients’ arrival, and use electronic health record (Cx360) to note all appointments.
  • Make appointment reminder calls as needed.
  • Support Therapists and Psychiatrist in the completion of client paperwork, pulling labs, record requests, and other daily operations.
  • Support Clinical Supervisor in tasks and projects related to OMHC/RNP operations and growth opportunities.
  • Identify areas of opportunity related to OMHC/RNP functioning, including productivity, efficiency, and waste reduction, and take the initiatives to promote change.
