About The Position

The Clinical Admin Support Specialist plays a crucial role in assisting the VP of Clinical Operations with the management and coordination of clinical staff and patient situations. This position requires effective interaction with various departments, clinic personnel, and external providers to foster positive relationships and ensure smooth operations within the clinics. The specialist is responsible for staff scheduling, managing time-off requests, and ensuring compliance with company policies and regulations.

Requirements

  • 1-2 years experience in managed care settings.
  • 1-2 years experience in outpatient clinical environments.
  • 1 year experience in a leadership role within BFMC/CCPN clinics.
  • Knowledge of methods and procedures utilized in a clinic setting.

Responsibilities

  • Assist with management and coordination of clinical staff and patient situations.
  • Interact with other departments, clinic personnel, and outside providers professionally.
  • Manage all staff scheduling and adjust schedules for complete clinic coverage.
  • Handle sick, tardy, and emergency callouts for providers and clinical staff.
  • Manage weekly time-off requests and ensure proper coverage of clinical sites.
  • Engage with staff to address concerns and ensure timely responses from management.
  • Motivate and inspire new employees in the clinic.
  • Assist Clinic Management in implementing changes within departments and staff members.
  • Monitor clinic activity and workflow to ensure full schedules and appropriate staffing distribution.
  • Meet with new staff post-orientation to explain call-out processes.
  • Ensure staff compliance with company policies and state regulations.
  • Coordinate with Clinic Leads to assess staffing needs.
  • Maintain open communication with staff.
  • Manage scrub inventory and distribution for new employees.
  • Assist in resolving patient and staff complaints and refer issues as needed.
  • Support Clinic Management with special projects related to the Admin Office.
  • Maintain cleanliness and organization of the Admin Office.
  • Communicate with scheduling to ensure timely patient reschedules when providers call out.
  • Assist during state or government inspections or audits.
  • Help schedule off-site clinic functions such as flu clinics or Senior Wellness Fair.
  • Complete payroll edits and submit to payroll and clinic management timely.
  • Track attendance trends and communicate violations to clinic management.
  • Ensure timely submission of required new hire documents.
  • Maintain inventory of CCPN-issued IT equipment and update as needed.
  • Manage mail for the CCPN Administrative Office.
  • Maintain conference room schedule and manage setups for meetings and events.

Benefits

  • Competitive hourly wage between $25.70 and $28.55 based on experience and qualifications.
