Located in Forest Grove, Oregon and founded in 2002, Adelante Mujeres is known for innovative responses to community concerns. RESPONSIBILITIES: The Part-Time Clinica Esperanza Receptionist serves as the first point of contact for community members and plays an important role in creating a welcoming, respectful, and healing environment. This position is responsible for answering and screening phone calls and emails, scheduling therapy appointments, conducting insurance verification, and processing new intakes. The Part-Time Receptionist also provides general clerical and administrative support to clinic staff who work with participants seeking services. Expected workdays are Monday to Thursday and occasionally on Fridays for meetings. This position reports directly to the Behavioral Health Manager.

Requirements

  • Minimum Education Required : High School Diploma or GED equivalent or Preparatoria
  • Minimum Experience Required : Minimum of 1 year of clerical/office experience
  • Proficiency in Office 365, including Outlook, Teams, Word, and Excel, Ability to quickly learn other software systems
  • Minimum 1 year experience with maintaining accurate data entry
  • Ability to develop good working relationships with a wide range of people, including excellent verbal and written communication
  • Bilingual fluency in English and Spanish, ability to read, write and speak
  • Excellent customer service skills for patients, providers, and community partners
  • Ability to switch between tasks and work in a fast-paced environment while maintaining the highest level of professionalism
  • Possess and pass a background check ( CBR ) under Office of Childcare and ORCHARDS
  • Ability to work in-person at Clinica Esperanza
  • Sit for extended periods of time working on computer
  • Lifting, carrying, pushing and pulling of up to 25 pounds

Nice To Haves

  • Experience with Behavioral Health billing and office practices
  • Knowledgeable about HIPAA compliance
  • 2 or more years of experience in a medical office setting

Responsibilities

  • Represent Adelante Mujeres, Clinica Esperanza as the first touch point with participants and community partners.
  • Provide warm and prompt welcome to visitors, incoming call er s, route to appropriate staff or department.
  • Process referrals for mental health services , including scheduling appointments, booking intakes with staff, conducting reminder calls and verifying sensitive information over the phone or in-person.
  • Verify and accurately save patient data into Electronic H ealth Record systems in a timely manner .
  • Maintain highest levels of office security : including restricted access to locked/ secure areas , sign -in procedures, HIPAA compliance regarding patient data, confidentiality about staff and Adelante Mujeres procedures .
  • Ensure a well-functioning office environment by overseeing receipt of mail, room set up for meetings, stocking supplies , and small event coordination.
