About The Position

Jamestown Family Health Clinic (JFHC) is seeking a dedicated and customer-focused Clinic Support Team Member to join our Admin Clinic team! This is a vital, full-time role responsible for managing patient health information and coordinating the administrative steps that make high-quality patient care possible. The ideal candidate will balance a high volume of administrative tasks—such as scheduling, referrals, and medical record processing—with a commitment to patient confidentiality and exceptional service. Requirements

  • Education: High School Diploma or equivalent.
  • Experience: Minimum of two (2) years of administrative experience. At least one (1) year of experience specifically in a healthcare setting.
  • Knowledge: Basic medical terminology and familiarity with common prescription medications.
  • Technical Skills: Proficiency in Microsoft Office Suite and experience with standard office equipment (copiers, faxes, scanners).
  • Interpersonal: Exceptional verbal and written communication skills with a strong background in customer service.
  • Compliance: Valid Washington State Driver’s License, ability to pass a criminal background check, and adherence to all current vaccine requirements for employment.

  • Experience with multi-line telephone systems.
  • Strong knowledge of Local, State, and Federal healthcare laws and regulations.
  • Excellent organizational skills with the ability to work independently and prioritize multiple tasks.
  • American Indian/Alaska Native preferences apply.

Responsibilities

  • Patient Coordination: Check in patients for appointments, schedule follow-ups, and perform registration pre-visit work queues.
  • Referrals & Authorizations: Process and track patient referrals for specialty care and tests; handle prior authorizations for patient services and pharmacy needs.
  • Health Information Management: Process medical record releases, scan/commit documents to charts, and manage incoming e-faxes for Care Teams.
  • Communication: Manage multi-line phone calls from patients and providers, prepare and send results letters, and provide information in alignment with JFHC policies.
  • Compliance: Maintain strict adherence to HIPAA guidelines, CMS regulations, and safety standards (Occupational Exposure Control Plan).
  • Data Entry: Register new patients in the Electronic Health Record (EHR) system with high accuracy.
