Requirements

  • Ability to work with minimal supervision.

Nice To Haves

  • BLS Certification (Basic Life Support) if working in the OR department.

Responsibilities

  • Coordinate clinic schedules and manage appointment templates under the direction of the Administrative Supervisor.
  • Answer phone calls promptly and accurately enter messages into the EPIC system.
  • Process fax transmittals and provide outreach fax support as needed.
  • Schedule appointments and register patients with complete demographic information.
  • Communicate effectively with patients and families regarding appointments, directions, and service instructions.
  • Assist with clinic reminder calls and ensure recalls are inputted for future appointments.
  • Request and distribute patient medical records as needed.
  • Manage outreach reservations including flights, car rentals, and hotels.
  • Complete daily crash cart checklist and input fetal conference data.
  • Assist nurses with Synagis orders and pre-clinic preparation work.
  • Support IT and clinic equipment issues as they arise.
  • Take meeting minutes and manage reservations for nurse meetings.
  • Complete miscellaneous reports and letters as required.
  • Set up Webex meetings for various departments within the organization.
  • Communicate schedule changes to third-party answering services as needed.
  • Assist nurses with scheduling pacer checks and complete outreach expense report submissions in Oracle.
  • Train and orient new employees as requested.
  • Manage office supply needs and provide telehealth technical support to families.
  • Coordinate visit preparations and communicate lab/imaging directions to families.
