About The Position

The Clinic Services Specialist at the University of Iowa Health Care is responsible for scheduling patient appointments in multiple outpatient clinics, ensuring adherence to established guidelines and best practices. This role involves daily phone coverage, problem-solving scheduling issues, and serving as a mentor and service excellence ambassador for staff and patients. The position requires collaboration with various departments to enhance healthcare delivery and may involve training and supervising temporary staff.

Requirements

• Bachelor's degree or equivalent combination of education and experience.
• Typically 6 months to 1 year of administrative experience.
• Proficiency in computer spreadsheet and database applications.
• Excellent written and verbal communication skills.

Nice To Haves

• Experience with hospital operations and/or Ambulatory Clinic operations.
• Experience with the Epic system.
• Experience scheduling in an outpatient clinic setting.
• Knowledge of University of Iowa Hospitals and Clinics policies, procedures, and regulations.

Responsibilities

• Schedule patient appointments and visits in multiple outpatient clinics using the EPIC system.
• Assist with problem-solving of scheduling issues.
• Follow scheduling policies to facilitate all patient appointments.
• Attend scheduling staff meetings and provide coverage in staff absence.
• Coordinate provider schedules, including master schedules and clinic closures.
• Notify the Patient Appointment Center and frontline supervisors of scheduling issues.
• Serve as an intermediary between patients, frontline staff, and nursing personnel regarding scheduling concerns.
• Negotiate appointments and schedule changes with patients and providers.
• Explain scheduling policies to other schedulers through written and oral communications.
• Collaborate with peers to enhance healthcare delivery and provide feedback to management.
