The Clinic Services Representative plays a crucial role in community access to high-quality, high-volume Spay/Neuter by delivering exceptional customer service, maintaining accurate records, and managing communications while fostering a welcoming and efficient environment for clients and their pets. The Clinic Services Representative reports to the Clinic Manager at the Spay/Neuter Clinic location. Requirements

  • 2+ years of experience in a veterinary clinic, veterinary hospital, and/or animal shelter or control facility preferred
  • Experience or ability to quickly learn to use phone and data systems in a high-volume environment, including Microsoft Office and Clinic HQ scheduling software
  • Available weekdays from 7:30 am-5:30 pm; occasional availability for a Saturday shift to support our community vaccine clinics preferred
  • Ability to work effectively as a team and independently with minimal supervision
  • Excellent organizational skills and strong attention to detail
  • Ability to communicate basic veterinary concepts to owners and be able to repeat information relayed by a veterinarian
  • Ability to follow WHS’s safe animal handling protocols and a commitment to fear free handling

  • Ability to navigate emotional aspects of animal welfare work
  • Able to successfully meet the physical demands of the job, which include stooping, kneeling, crouching, crawling, standing, walking, pulling, lifting, grasping, and repetitive motions. Must be able to routinely lift and carry up to 50 pounds.

Responsibilities

  • Provide excellent customer service during animal check-in and check-out procedures, scheduling, and responses to client inquiries
  • Answer clinic phone calls and emails, return messages, and forward messages to appropriate staff in a timely manner
  • Ensure complete and accurate animal medical records are entered in daily data entry and prepare paperwork to go home with patients
  • Maintain billing records for all clients and operate Point of Sale (POS) system
  • Partner with WHS volunteers daily to support clinic work
  • Model a welcoming, supportive, and non-judgmental approach with all clients, co-workers, and volunteers
  • Assist with post-surgery patient observation, promptly respond to any concerns by alerting appropriate staff
  • All other duties as assigned
