About The Position

Westchester Jewish Community Services (WJCS), a nonprofit founded in 1943, has grown to be the largest provider of licensed outpatient community mental health services and one of the largest human service agencies in Westchester County. We provide state-of-the-art programs and services and compassionate care to more than 20,000 people of all ages and backgrounds each year. This is an exciting professional growth opportunity in the field of children’s mental health. We are currently looking for a dedicated and detail-oriented full-time Clinic Secretary to join our team at the Hartsdale Clinic. Under the general supervision of the Office Manager, the Clinic Secretary will play a key role in supporting the smooth operations of the clinic. The salary range for this full-time position is $45,000 - $47,000/year.

Requirements

  • A High School Diploma or GED and at least four years of relevant experience, or an Associate’s Degree in a relevant field plus two years’ experience, or have graduated from an approved secretarial or business school plus two years’ experience, or any satisfactory equivalent combination of the aforementioned training and experience.
  • Availability to provide evening coverage at least two times per week.
  • Excellent customer service skills.
  • Proficiency in data entry and experience with electronic medical record system.
  • Familiarity with administrative procedures in a mental health or healthcare setting.
  • Knowledge of Medicare/Medicaid billing policies, including experience with Epace Medicaid eligibility system.

Responsibilities

  • Greet and check in clients and visitors in a respectful and trauma-informed manner.
  • Answer, screen, route, and document calls and coordinate mail, faxes, and inter-office communications.
  • Schedule and confirm appointments for the clinical and care coordination team in a timely manner and maintain clinic calendars and staff schedules.
  • Assist with telehealth coordination and transportation services for clients.
  • Assist with data entry related to admissions, discharges, and transfers and maintain accurate and confidential client records.
  • Inform clients of applicable copays and collect payments; issue receipts and accurately document payments.
  • Provide general administrative support to clinical staff and prepare materials for appointments, including intake packets and consent forms, and meetings.
