About The Position

Clay County Medical Center's Rural Health Clinics are dedicated to delivering high-quality care to our community. Our clinics are committed to creating a supportive and efficient environment for both patients and team members. We are seeking a motivated, detail-oriented, and leadership-driven Clinic Registration Coordinator to manage our registration and scheduling team, ensuring smooth and positive experiences for our patients during the registration and scheduling process. The Clinic Registration Coordinator will manage the day-to-day operations of the patient intake and registration process, oversee the performance of registration staff, and ensure all necessary documentation is accurately processed. The ideal candidate will possess strong organizational and leadership skills, attention to detail, and the ability to communicate effectively with both staff and patients. In this role, you will be responsible for improving patient flow, streamlining administrative processes, and providing continuous support and guidance to the registration and scheduling team.

Requirements

  • High school diploma or equivalent required.
  • Previous experience in healthcare registration, medical office administration, or a similar role, with at least 2-3 years of supervisory or team leadership experience preferred.
  • Strong leadership and team management skills, with the ability to motivate and guide staff.
  • Proficiency in managing and training a team in a fast-paced, high-volume work environment.
  • Knowledge of medical terminology, insurance verification, and electronic health records (EHR) systems.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Strong attention to detail, organizational skills, and the ability to multitask effectively.
  • Familiarity with HIPAA regulations and patient confidentiality standards.
  • Proficiency in Microsoft Office Suite and other office software.

Nice To Haves

  • Associate's or Bachelor's degree in healthcare administration or a related field preferred.

Responsibilities

  • Supervise, train, and mentor the clinic's registration and scheduling team, ensuring all team members are knowledgeable, efficient, and maintain high customer service standards.
  • Greet patients upon arrival, ensuring smooth check-ins, addressing patient concerns or complaints, and acting as a liaison when needed.
  • Oversee the accurate collection and verification of patient information, including demographic details, insurance information, and medical history.
  • Ensure that all necessary consent forms and documents are completed and signed by patients. Maintain the accuracy of information entered into the clinic's electronic health records (EHR) system.
  • Collaborate with the healthcare team to ensure timely and accurate scheduling of appointments, and monitor the clinic's patient flow.
  • Verify insurance eligibility and inform patients of coverage details, including co-pays due at the time of visit. Resolve any insurance-related issues that may arise.
  • Analyze and streamline registration processes to increase efficiency and reduce patient wait times. Monitor the registration process for bottlenecks and implement improvements.
  • Foster effective communication between registration teams and medical teams to ensure the clinic runs smoothly and efficiently.
  • Ensure that all activities are carried out in compliance with HIPAA regulations and the clinic's confidentiality policies.
  • Provide additional administrative support as needed, including scheduling team members to ensure adequate coverage across all RHC's.
