About The Position

Clinic Receptionist (Full-Time, Monday – Friday) The LIFE PACE (Program of All-Inclusive Care for the Elderly) Clinic team provides vital primary and specialty medical services to Tulsa’s aging population. Our mission is to support older adults in remaining safely in their homes for as long as possible through comprehensive, compassionate, and coordinated care. Our dedicated team of professionals works collaboratively to deliver high-quality services with dignity and respect. The Clinic Receptionist plays a key role in supporting our busy clinic by serving as the first point of contact for participants, caregivers, families, and visitors. In this full-time position, you will greet and assist participants, manage incoming calls, coordinate clinic arrivals and departures, and perform a variety of administrative and clerical functions essential to daily clinic operations. The ideal candidate is organized, detail-oriented, able to multitask in a fast-paced environment, and committed to maintaining confidentiality. This role works closely with seniors, some of whom have dementia, and requires patience, empathy, and a compassionate service mindset.

Requirements

  • High school diploma or equivalent required.
  • Minimum of two years of experience in a busy office environment, preferably in healthcare, transportation, receptionist, or administrative support roles.
  • Strong communication, organizational, and customer service skills.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to work effectively as part of a team while also functioning independently.
  • This is position requiring candidates to have a background check, a pre-employment physical and drug test, Tb screen, First Aid and CPR certification.

Nice To Haves

  • Vocational certification, associate degree, or some college coursework preferred.
  • Experience working with seniors or individuals with cognitive impairment preferred.
  • Spanish bilingual skills strongly preferred.

Responsibilities

  • Greet participants, caregivers, families, vendors, and visitors in a friendly, warm, and professional manner.
  • Answer clinic telephone calls promptly and professionally; forward calls and take accurate messages as appropriate.
  • Coordinate participant arrivals and departures in an orderly and efficient manner.
  • Escort or assist participants entering and exiting the clinic as needed to ensure safety and comfort.
  • Route communications and inquiries to appropriate clinic staff or departments.
  • Notify appropriate staff of vendor arrivals and deliveries.
  • Maintain accurate documentation of participant check-ins and departures.
  • Schedule in-house psychiatry appointments and post-hospital discharge follow-up visits.
  • Contact participants and/or caregivers with appointment reminders and clinic-related information.
  • Maintain a clean, organized, and professional reception and waiting area, including routine sanitation of shared equipment.
  • Attend staff meetings, in-services, and training sessions assigned.
  • Adhere to all LIFE PACE policies, procedures, and confidentiality standards.
